Position Title: Event Coordinator
Reports to: Event Manager
Position Summary: Catawba Island Club (CIC) is seeking an organized, energetic, and service-focused Event Coordinator to join our Events team. This position is responsible for assisting with the booking, planning, coordination, and execution of private member events, social celebrations, club-wide events, and seasonal activities.
The Event Coordinator works closely with members, guests, the Events team, and CIC department leaders to ensure events are well planned, clearly communicated, and executed to CIC's standards of exceptional hospitality and service.
Experience & Requirements
- Previous event planning, hospitality, catering, country club, or hotel experience preferred.
- High school diploma or equivalent required; hospitality or related degree is a plus.
- Strong organizational, time-management, and communication skills.
- Ability to manage multiple events and priorities simultaneously.
- Proficient with Microsoft Word, Excel, Canva, email, and other computer applications.
- Ability to learn and utilize CIC's Northstar event management software with training.
- Professional, positive, and service-oriented approach when working with members, guests, and staff.
- Ability to work independently while being an effective member of a team.
- Ability to provide direction to summer interns and event support staff as assigned.
Core Responsibilities
Event Booking & Planning
- Book and coordinate member social events including birthdays, anniversaries, showers, engagements, memorials, and other celebrations.
- Work with the Events team to determine appropriate dates, times, and available event spaces.
- Meet with members to gather event details, preferences, and special requests.
- Assist with event themes, menus, room setups, timelines, décor, entertainment, and other event needs.
- Create and maintain accurate event information in Northstar and prepare event sheets for weekly staff meetings.
- Communicate event details and changes to all appropriate CIC departments.
Event Execution
- Prepare event spaces, including décor, lighting, music, equipment, and other requirements.
- Greet and welcome member hosts and guests.
- Serve as a point of contact for member throughout the event.
- Monitor events and work with CIC staff to ensure member expectations and service standards are met.
- Respond professionally to requests, changes, and unexpected situations.
Club Events & Teamwork
- Collaborate with the Events team on holiday parties, all-club events, and seasonal programming.
- Contribute creative ideas for themes, activities, décor, and member experiences.
- Work closely with Food & Beverage, Culinary, Housekeeping, Maintenance, Front Desk, and other departments to ensure successful events.
- Assist with supervising summer interns and temporary event staff as assigned.
- Support the Events and Hospitality teams with other responsibilities as needed.
Physical & Schedule Requirements
- Must be available to work evenings, weekends, holidays, and extended shifts, including shifts exceeding 10 hours during peak event periods.
- Ability to stand and walk for extended periods and work in a fast-paced environment.
- Ability to lift and carry event-related materials as required.
- Ability to work indoors and outdoors and in varying weather conditions when events require.
