In-person Local Administrative Coordinator for HortScience | Bartlett Consulting | Berkeley, CA
HortScience | Bartlett Consulting is seeking a Full-Time Administrative Coordinator to support the daily operations of our Berkeley office. We are looking for an organized, reliable, and self-motivated professional with strong administrative, bookkeeping, and customer service skills.
As part of a small consulting team, you will play a key role in office administration, financial support, client coordination, and project tracking while working closely with the H|BC Manager and consulting staff.

Responsibilities
Work Schedule
- Monday through Friday
- 8:00 AM to 5:00 PM
- Full-time, in-office position located in Berkeley, CA
Key Responsibilities
- Manage daily office operations, phones, visitors, mail, filing, and supplies
- Maintain client and employee records
- Process accounts receivable and accounts payable
- Generate invoices, track payments, and assist with collections
- Support payroll, expense reporting, and timesheet tracking
- Prepare monthly financial reports and budget tracking
- Maintain client and project files
- Assist with contracts, W-9s, and Certificates of Insurance (COIs)
- Package and ship project samples as needed
- Coordinate with vendors and service providers
Qualifications
Education and experience
- High school diploma is required; B.S. or A.A. degree highly preferred.
- A minimum of one year’s work experience in office/administrative/bookkeeper setting.
Computer skills
- Strong computer skills: able to create and manage electronic files, communications, and maintain records electronically.
- Experience with QuickBooks Online preferred
- Stronge knowledge of Microsoft 365, SharePoint, and Teams as form of internal communications
Personal and physical requirements
- Excellent verbal and written communication skills; able to communicate effectively with clients and staff.
- Ability to work independently, maintain confidentiality, and manage multiple priorities
- Strong sense of customer service and cooperative approach to client interaction.
- Good organizational skills: able to manage time, meet deadlines, keep records and documents organized.
