Description

Position Summary

RethinkFirst is seeking a detail-oriented and motivated Associate Product Manager to support the continued development and enhancement of BillAI, our revenue cycle management (RCM) platform.

This position will work closely with the Senior Product Manager, engineering, QA, customer support, billing operations, and other internal stakeholders to manage product requirements, coordinate development activities, and support successful feature releases.

The ideal candidate is highly organized, comfortable working with technical and non-technical teams, and interested in developing a career in product management.

This role will focus on product execution, operational support, and assisting the Senior Product Manager with strategic initiatives, roadmap planning, and complex product decisions. As the individual develops product knowledge and experience, they will take increasing ownership of assigned features and enhancements.

Key Responsibilities

1. Product Requirements & Documentation

  • Assist the Senior Product Manager in gathering, documenting, and refining product requirements.

  • Create and maintain user stories, acceptance criteria, and functional requirements for development.

  • Work with stakeholders to clarify business needs, identify workflow challenges, and define expected functionality.

  • Maintain accurate product documentation, workflows, and feature specifications.

  • Ensure development tickets contain sufficient information for engineering and QA teams.

2. Product Backlog & Sprint Support

  • Assist with maintaining, organizing, and refining the product backlog.

  • Prepare user stories and requirements for sprint planning and backlog refinement sessions.

  • Track the progress of assigned development initiatives and identify potential blockers.

  • Coordinate with engineering and QA to clarify requirements throughout development.

  • Verify that completed work aligns with documented requirements and acceptance criteria.

  • Support the Senior Product Manager in monitoring sprint commitments and release timelines.

3. Stakeholder Coordination

  • Serve as a point of contact for internal stakeholders submitting product enhancement requests or reporting workflow gaps.

  • Gather additional information needed to evaluate requests and understand business impact.

  • Track stakeholder requests and provide regular updates on their status.

  • Coordinate meetings to review requirements, proposed solutions, and completed functionality.

  • Document meeting outcomes, action items, and follow-up activities.

  • Maintain visibility into product initiatives, customer-impacting issues, and development progress.

4. Product Testing & Release Support

  • Participate in reviewing completed functionality before release.

  • Assist with user acceptance testing (UAT) to verify that features meet business requirements.

  • Coordinate and conduct product demonstrations with internal stakeholders.

  • Prepare release notes and assist with communicating upcoming product changes.

  • Support post-release follow-up to identify issues or opportunities for improvement.

  • Work with QA and engineering to ensure reported defects are clearly documented and reproducible.

5. Customer Support & Product Operations

  • Partner with customer support and billing operations to understand recurring customer challenges.

  • Investigate reported product issues and help determine whether they are defects, training opportunities, or enhancement requests.

  • Document common product workflows and frequently asked questions.

  • Assist in creating internal training materials and product demonstrations.

  • Identify opportunities to improve existing workflows, reduce manual processes, and enhance the user experience.

6. Product Ownership & Continuous Improvement

  • Take ownership of assigned product enhancements, including requirements gathering, stakeholder communication, development coordination, and release validation, with guidance from the Senior Product Manager.

  • Develop an understanding of healthcare revenue cycle management, including claims processing, payment posting, denials, and reporting.

  • Become familiar with healthcare EDI transactions, including 837 claims, 835 remittances, and claim acknowledgments.

  • Develop a strong understanding of the BillAI platform's functionality, configurations, and integration workflows.

  • Identify opportunities to improve product processes, documentation, and stakeholder communication.

  • Gradually assume responsibility for independently managing smaller product features and enhancements.

  • Collaborate with the Senior Product Manager to evaluate potential solutions and recommend improvements based on customer needs and business impact.

Required Qualifications

  • 1–3 years of experience in product management, business analysis, software implementation, project coordination, or a related role.

  • Strong organizational skills and attention to detail.

  • Excellent written and verbal communication skills.

  • Ability to translate business needs into clear, actionable requirements.

  • Ability to work effectively with cross-functional teams.

  • Ability to manage multiple priorities in a fast-paced environment.

  • Strong problem-solving and analytical skills.

  • Familiarity with Agile/Scrum software development methodologies.

  • Experience using product management or issue-tracking tools such as Jira, Azure DevOps, or similar platforms.

Preferred Qualifications

  • Experience working with healthcare software or SaaS platforms.

  • Familiarity with healthcare revenue cycle management workflows.

  • Basic understanding of medical claims, insurance payments, denials, and adjustments.

  • Exposure to healthcare EDI transactions, including 837, 835, 999, and 277.

  • Experience writing user stories and acceptance criteria.

  • Experience supporting software testing or user acceptance testing.

  • Familiarity with behavioral health or ABA billing is a plus.

Success Measures

Success in this role will be measured by the individual's ability to:

  • Maintain well-documented, organized, and actionable product requirements.

  • Improve the readiness of development tickets before sprint planning.

  • Ensure stakeholder requests are tracked, evaluated, and communicated effectively.

  • Support timely completion of product demonstrations and release activities.

  • Reduce the administrative and coordination workload of the Senior Product Manager.

  • Demonstrate increasing ownership of assigned product enhancements from requirements through release.

  • Develop sufficient product knowledge to independently manage smaller features and enhancements.

  • Build effective working relationships with engineering, QA, customer support, and billing operations.

  • Contribute to improvements in product workflows, stakeholder communication, and overall team efficiency.
