Role
We are seeking an experienced and detail-oriented Guest Experience Supervisor to join the team at Aman Kyoto, in Kyoto. Reporting to the Director of Rooms, to oversee the operations of the rooms department on a daily basis while maintaining the structure and well-being of the department by controlling payroll costs, supply budges, forecasting, quality and staffing guidelines.
Responsibilities
- Check PMS records for the following: Guest reservation
- Guest history Specialized instructions
- Assist guests in completing registration form, reviewing entries to ensure important details are included. Responsible for following up on incomplete details.
- Escort guests to the room.
- Handle and coordinate group reservation as Group (ordinator
- Ensure smooth registration of groups by communicating arrival time and details to all areas concerned.
- Know contents of Group Resume and summarize arrival dates and group flow in terms of arrival time for the department.
- Check for and coordinate requirements like check-in venue, individual/group
- welcome drinks, conference kits, rooming list, amenities.
- Inform appropriate party immediately in cases where requests cannot be granted for some reason or another.
- Check master folios which are due out.
- Check for account instructions: if for send bill, ensure that signatory is able to sign the folio.
- If the account is to be settled on check-out, make sure that the bill is ready for settlement.
- If settlement will be done through credit card, ensure that approval is enough to cover total charge.
- Check postings and support documents.
- Control room keys by checking PMS system prior to issuance of room key to guests, to ensure that key is issued to the right guests.
- Create/ Review guest folio and accurately encodes the needed guest information, e.g., complete name, address, race, origin, mode of payment, date of birth, arrival/departure
- details, reservation source, etc
- Immediately update guest profile.
- To do clerical and cashiering;
- Check and ensures the accuracy of all financial transactions handled and/or endorsed to the Front Desk.
- Maintain cashier's float accurately, adhering to specified procedures at all times.
- Follow up on vouchers from Travel Agencies and letters of authorization from companies.
- File all reports and checked-out registration cards.
- Immediately report and turn over lost and found articles to Housekeeping office, following required procedures at all times.
- Inform the Front Office Assistant Manager or Security Department if valuables are left in the open. Follow standard procedures in handling this and similar situations at all times.
- Attend to all guest complaints immediately and initiates/coordinates immediate resolution.
- Possess full knowledge of emergency procedures.
- Attend scheduled employee training and periodic reviews on departmental responsibilities in case of emergencies.
- Respond to Emergency Calls, as may be required.
- To ensure that daily duties are conducted;
- Ensure proper maintenance of all equipment in the front office area
- Ensure timely reporting of malfunction or maintenance deficiencies to appropriate area.
- Attend scheduled training courses.
- Participate actively in company-initiated employee activities.
- Attend briefings, as required.
- Maintain good relationships with colleagues and contributes to team spirit.
- Adhere to specified hygiene and personal appearance standards of the Hotel.
- Adhere to set procedures for attendance and timekeeping
- Adhere to the provisions outlined in the Disciplinary Code and Rules & Regulations.
- Reduce waste materials and supplies by adhering to the Company's guidelines on re using and re-cycling.
- Maintain clean surroundings.
- Conserve water & energy by adhering to the environmental/ energy conservation checklist for area.
- Participate in activities concerning the protection of the environment.
- Implement the identified Best Practices in your work area.
- Practice the guiding principles in day to day interaction.
- Maintain the highest standard of professionalism, ethics and attitude towards clients and colleagues
Requirements
- Verbal and written proficiency in English and Japanese
- College education
- minimum 1 year in Front Office in an international luxury hotel
- computer knowledge, ability to work on shifts
