Job Description:

Note: This is a 12 months temporary contract. The role includes partial shift work, with two mid-shift days per week (12:00 PM – 8:00 PM), while the remaining days follow standard daytime hours. Additionally, this role follows a hybrid work setup, with an expectation to work from the office at least three days per week.

What’s the role

As a Contracts Coordinator (internally referred to as a Confirmations Coordinator), you will support the end-to-end confirmations and contracts process. Your responsibilities include, but are not limited to, preparing first-draft standard confirmations using templates; issuing draft confirmations to customers and following up as needed; preparing contracts, confirmations, and related documents for electronic or hard-copy signature; and obtaining internal approvals in line with contract procedures and the Manual of Authorities. You will also maintain contracts databases, ensuring executed contracts and confirmation records are accurately stored in the appropriate systems, run daily reports, support transaction-related activities, and troubleshoot system issues while resolving queries and handling other ad hoc tasks.

You will be part of the Shell Trading & Supply organization, which operates a global trading network across Crude Oil, Refined Products, LNG, Gas, Power, and Environmental Products, with major hubs in London, Houston, Calgary, Singapore, Dubai, Rotterdam, and the Bahamas. The Contracts Operations team manages the full contract lifecycle, including pre- and post-deal commercial support, contract drafting, internal authorization, contract issuance, records management, and providing value-driven commercial guidance for complex transactions.

Reporting to the Confirmations Team Lead, you will support the Crude and/or Products trading desks by ensuring timely and accurate validation of commercial deal entries in accordance with business requirements, while drafting, issuing, and responding to confirmations and related documentation.

What you’ll be doing

  • Generate confirmations using standard templates.

  • Collaborate with Commercial, Trading, Credit, Legal, Contract Advisors, and other functions to ensure the timely completion of contracts and confirmations.

  • Execute daily activities in accordance with established procedures and in compliance with Shell policies, including SOX/KNS and Business Controls.

  • Ensure all confirmations include Shell’s mandatory clauses, where applicable, and comply with global Shell policies.

  • Demonstrate a strong understanding of commodity transactions and the ability to identify discrepancies in deal entries and/or transaction confirmations.

  • Apply a working knowledge of CARF principles, completing all CARF requirements for relevant confirmations and identifying risks when deviations from standard templates occur.

  • Process contracts for internal and external execution.

  • Manage contract and confirmation queries from third parties, escalating to senior Confirmations Coordinators or Contracts Advisors as needed.

  • Run and analyze reports, when required, to ensure adherence to policies and procedures.

  • Support special projects and tasks as assigned by the Confirmations Team Lead.

What you bring

  • Bachelor’s degree.

  • Fluency in English, both written and spoken.

  • At least 1 year of professional experience; prior exposure to a commodity trading environment or the energy industry is an advantage.

  • Familiarity with contracts, transaction confirmations, and/or records management processes is a plus.

  • Strong problem-solving skills with the ability to collaborate effectively to resolve issues.

  • High level of accuracy and attention to detail, with the ability to manage multiple tasks simultaneously.

  • Proven experience working in a fast-paced, team-oriented environment.

  • Ability to consistently deliver work in line with established standards and expectations.

  • Working knowledge of cross-functional collaboration and interaction between departments.

  • Capability to identify and recommend improvements to processes and controls is an advantage.

  • Excellent customer service and interpersonal skills, with the ability to maintain professionalism under pressure.

Benefits Overview:

The salary band for this role is 7 000 - 10 400 PLN gross monthly.

Employees working in a shift system are entitled to extra pay of 30% of their daily base salary for each day of work on the afternoon shift.
