Tactical Rehabilitation is seeking a detail-driven Business Licensing and Tax Compliance Specialist to obtain and maintain every business license, tax identification number, and operating registration required across our current and newly opened locations. This role is ideal for a compliance-minded professional who takes pride in accuracy, owns deadlines without being chased, and wants clear ownership of an essential company function.
In this role you will file state and locality-specific taxes, annual reports, and sales and use tax returns on time, maintain BOP, BOC, and AHCA certifications where required, and serve as the company’s single point of contact for licensing questions. Your work protects our ability to serve service members, veterans, and their families in every community where we operate.
Position Summary
The Business Licensing and Tax Compliance Specialist is responsible for the accurate and timely processing of all materials required to obtain and maintain business licenses and tax identification numbers in all current and new locations. This role also owns the timely filing of state and locality-specific taxes, annual reports, sales and use tax returns, and related jurisdictional filings.
The Specialist builds and maintains the company’s multi-state compliance calendar, standardizes licensing and renewal procedures, and reports license standing and open compliance risks to the Accounting Manager. This position reports to the Accounting Manager and has no supervisory responsibilities.
Essential Duties and Responsibilities
· Maintain records, compile information, and submit forms to obtain state and local business licenses and tax identification numbers for all locations.
· Complete licensure applications for submission to the appropriate state boards and aggregate all information requested by those boards.
· Ensure every license, registration, and certification is renewed ahead of its expiration date with no lapse in any jurisdiction.
· Maintain current BOP, BOC, and AHCA certifications as required in individual offices.
· File state and locality-specific sales and use tax returns, annual reports, and franchise tax filings by their statutory due dates.
· Maintain up-to-date licensing and tax records organized by state, jurisdiction, and location.
· Build and maintain the company compliance calendar for all licensing and filing deadlines.
· Implement and document standard procedures for licensing, registrations, renewals, and filings.
· Act as the point of contact for licensing and tax identification questions across the company.
· Coordinate with Office Managers to ensure timely and efficient renewals, approvals, and signatures.
· Maintain confidentiality of information in accordance with company policy and HIPAA guidelines.
Additional Responsibilities
· Complete foreign qualification, registered agent, and Secretary of State filings for new market entries and location closures.
· Reconcile filing data against accounting records and escalate variances to the Accounting Manager before submission.
· Maintain tax exemption and resale certificates and jurisdictional registration profiles.
· Track legislative and regulatory changes affecting licensing, sales tax nexus, and reporting obligations.
· Support internal, external, and payor audits by providing licensing and tax documentation on request.
· Perform other duties as assigned.
Key Performance Indicators (KPIs)
· Maintain 100% active standing on all business licenses, registrations, and required certifications — zero lapses.
· Submit 100% of tax returns, annual reports, and recurring jurisdictional filings on or before the due date.
· Maintain a complete and current compliance calendar and record set for every state and location.
· Complete all licensing requirements before each new location’s scheduled opening date.
· Respond to internal licensing and tax identification inquiries within one business day.
Qualifications
Required
· High School Diploma or GED.
· Two or more years of related experience in business licensing, tax filing, regulatory compliance, or accounting support.
· Excellent attention to detail and proven follow-through.
· Ability to manage recurring deadlines across multiple jurisdictions with minimal supervision.
· Strong written and verbal communication skills.
· Proficiency in Microsoft Office Suite and comfort navigating state and local electronic filing portals.
· Demonstrated discretion with confidential company, employee, and patient information.
Preferred
· Associate’s Degree in accounting, business administration, or a related field.
· Experience with multi-state sales and use tax, annual report, or Secretary of State filings.
· Experience in healthcare, durable medical equipment, or another licensed and regulated industry.
· Familiarity with BOP, BOC, or AHCA licensure requirements.
· Knowledge of military culture and experience supporting active-duty service members, veterans, or military families.
· Prior military service or military family affiliation.
Compensation
Salary: $40,000 – $45,000 annually (equivalent to $19.23 – $21.63 per hour based on a 40-hour workweek). This is a full-time, non-exempt position; overtime is paid in accordance with the Fair Labor Standards Act and applicable state law.

Physical Requirements
· Ability to sit, stand, bend, kneel, walk, and reach throughout the workday.

· Fine motor skills required for administrative duties, filing, and data entry.
Work Environment
This position operates in a professional office environment and routinely uses standard office equipment. Work is performed Monday through Friday during standard business hours. Limited additional hours may be required near statutory filing deadlines, at fiscal year-end, or during new location openings. No travel is expected for this position.
