About the role:
The Facilities Coordinator will provide support to the Site and/or Assistant Facility Managers with operational activities in MAC (Move, Add, Change), maintenance and operations, vendor oversight, equipment and supplies, occupancy services and proactively develop and maintain client relationships ensuring that expected service levels are achieved.
What this job involves:
- Move Management & Relocation POC:
- Lead and coordinate large-scale office relocation projects, including moves involving 1,000+ employees and multiple laboratory facilities.
- Support the client to develop comprehensive relocation plans including timelines, budgets, vendor selection, and risk mitigation strategies.
- Co-work with Technician to manage specialized laboratory equipment relocation, ensuring compliance with safety protocols, equipment calibration requirements, and minimal operational downtime.
- Coordinate with internal stakeholders Business Units, Operations Team (IT/ EHS/Security/HR/Legal) , lab owners, and external moving vendors to ensure seamless transition during office moves.
- Oversee move-related logistics including space planning, furniture installation, equipment decommissioning/recommissioning, and post-move adjustments.
- Daily Operations & Soft Services:
- Prior experience in facilities, property management, hospitality or related field preferred.
- Conduct daily walkthroughs to ensure clean and organized offices.
- Respond to all work orders in a timely manner ensuring compliance and excellent customer service.
- Schedule and manage repairs and maintenance, minor works and other work requests, tracking to completion.
- Update and maintain accurate records and official documentation for the site/s including web pages where any other activities to support JLL and/or operations, including, but not limited to moves/reconfigurations, events and building operations.
- Coordinate the delivery of site amenities which may include pantry service, vending machine service and office supplies as required and act as the site key point of contact.
- Identify opportunities for improved operation and service excellence, making recommendations for conduct site inspections and assessments to ensure all building procedures and performance measures are maintained at all times and the provision of a safe workplace.
- Provide coordination and support events, meeting room setup and conference facilities as required.
- Reporting & Stakeholder Communication:
- Prepare and deliver comprehensive presentations summarizing all related routine work and ad-hoc tasks to present to stakeholders.
- Consolidate monthly soft service reports and ad-hoc task summaries into professional presentation decks.
- Create and deliver presentations to communicate Facilities announcements, important notices for end-users, and promote Facilities initiatives and programs.
- Maintain strong presentation skills to effectively communicate operational updates, service improvements, and strategic initiatives to various stakeholder groups.

- Good at documentation, and MS software;
- Over 2 years’ experience in managing facilities preferred;
- Good command of spoken and written English and Chinese languages.
