Job Description Summary

The Facilities and Safety Manager provides strategic and hands-on leadership for the maintenance, preservation, and safety operations of The Graylyn Estate. Operating with high autonomy, this role oversees all core building systems, including HVAC, electrical, plumbing, carpentry, and painting across the historic property. Additionally, the Manager designs, implements, and enforces comprehensive safety and OSHA compliance programs. This position balances daily operational excellence with long-term capital project management to preserve Graylyn’s asset value.

Job Description

Essential Functions: 

  • Directs the daily workflows of the engineering and maintenance teams to ensure the estate's flawless physical presentation and operation.

  • Handles personnel procedures including the following: interviewing, hiring, training, disciplining, terminating, handling transfers, employee performance reviews, promotions, increases, and demotions within the Maintenance Department.

  • Oversees the weekly work schedule for the Maintenance staff.

  • Oversees the payroll for the Department.

  • Cultivates a culture of hospitality excellence within the maintenance team, ensuring that physical repairs are executed with minimal disruption to guests and conference groups.

  • Maintains HVAC systems and Allerton control systems.

  • Manage budgets, safety updates, and ongoing projects. 

  • Manages the daily operations of the Maintenance Department.

  • Administer Fire Drills, Evacuation drills, and Crisis Plan training.

  • Acts as liaison to Facilities and Safety Departments at WFU, and oversees safety compliance for all personnel at Graylyn.

  • Coordinates required OSHA training through Wake Forest University as Safety Liaison.

  • Assists with training topics of fire safety, blood-borne pathogens, ergonomics, asbestos management, hazmat, PPE, fall protection, machine guarding, workers’ compensation, and other related topics as needed. 

  • Hold monthly staff meetings, quarterly crisis meetings, knowledge-based skills training, fire extinguisher training, and golf cart safety training.

  • Manage needs to handle large weddings or private events.

  • Create spreadsheets and necessary documents to track and update Preventative Maintenance, Project timelines, and budgets.

  • Manage telephone systems and repairs. Knowledge of WFU telecom systems.

  • Manage multiple contractor bids for all repair and maintenance contracts.

  • On call for Emergency repairs.

  • Maintain electrical systems with necessary training and arc flash safety equipment.

  • Maintain Laundry natural gas and electric laundry equipment.

  • Maintain Kitchen cooking equipment, natural gas and electric.

  • Implement necessary safety updates.

  • Maintain property golf carts and vehicle fleet.

  • Purchase and maintain stock for all items needed in department to minimize downtimes.

  • Responds to and oversees maintenance requests throughout the property.

  • Assign duties and tasks to the Assistant Chief Engineer or other staff to accomplish the needs of the department.

  • Develops annual budget and implements a management strategy to remain within that budget.

  • Obtains contractor proposals and bids for major maintenance work needed by the Conference Center and communicates with the General Manager for approval of proposals and bids.

  • Obtains approval for all capital budget items that need to be purchased.

  • Arranges, monitors and approves any outside contracting work. 

  • Maintains the highest level of employee/guest relations.

  • Follows upper management guidelines in the overall running of the department.

  • Keeps accurate records of all Maintenance material requirements.

  • Approves and audits all charges for material and supplies used by the Maintenance Department.

  • Participates in the Manager on Duty rotation.

  • Ensures that the service standards of the Conference Center are maintained through the staff.

  • Attends weekly Coordination meetings.

  • Maintains a good working relationship with all Departments.

  • Performs other related duties as assigned.

Required Education, Knowledge, Skills, Abilities:

  • High school diploma or G.E.D plus specialized training with three to five years related experience, or equivalent combination of education and experience.

  • Ability to work from ladders, scaffolds, hydraulic lifts, or in tunnels and crawl spaces.

  • Familiarity with Digital Work Order/Computerized Maintenance Management Systems (CMMS) and automated Building Management Systems (BMS).

  • Operational knowledge of OSHA regulations, fire and life safety systems, and workplace risk mitigation.

  • General knowledge of HVAC, plumbing, electrical, carpentry, painting repairs and installation as needed.

  • Ability to meet the requirements of the University’s automobile insurance.

  • Excellent interpersonal, communication, and time management skills. 

  • Ability to read, understand and abide by all safety policies and procedures.

  • Ability to maintain effective customer relations.

  • Ability to work any assigned shift/work schedule including rotating shifts, weekends, and holidays as operational demands dictate.

Accountabilities: 

  • Manages a department staff of varying size. 

  • Works under minimal supervision, taking full accountability for the operational integrity, safety, and physical preservation of all estate assets.

Preferred Education, Knowledge, Skills, Abilities:

  • Bachelor’s degree is a plus, with a minimum of five (5) years of facilities management experience in a high-end hotel, resort, or conference center environment.

  • Knowledge and experience in building automation systems and/or high voltage systems.

  • Upkeep of indoor pool and familiarity with the process to permit pools.

Physical Requirements:

  • Heavy work; exerting up to 100 pounds of force occasionally and/or up to 50 pounds of force frequently, and/or up to 20 pounds of force constantly to move objects. 

  • Talking, hearing, climbing, balancing, stooping, kneeling, crouching, reaching, standing, walking, pushing, pulling, lifting, and grasping. 

  • Visual acuity to perform an activity such as: operating machines such as lathes, drill presses, power saws and mills where the seeing job is at or within arm’s reach; performing mechanical or skilled trades tasks of a non-repetitive nature such as carpenters, technicians, service people, plumbers, painters, mechanics, etc. 

Environmental Conditions: 

  • Activities occur both inside and outside, subject to both environmental conditions. 

  • Workers are subject to noise, vibrations, hazards, atmospheric conditions, and oils.
