THE OPPORTUNITY
Use your skills and knowledge to assist the members of your community. The selected candidate will have the opportunity to perform a variety of administrative, secretarial, and office support duties of considerable complexity, requiring thorough knowledge of the assigned department, division, or program, its procedures, and operational details and provide administrative support to its various departmental staff.
The selected candidate will have the opportunity to:
- Provide administrative support to an assigned supervisor or manager in the daily management of operations.
- Prepare, type, and/or process various documents requiring professional knowledge of the department, division, or program functions, which may include, but are not limited to, permits, licenses, applications, vouchers, claims, meeting agendas and minutes, correspondence, periodic reports, contracts, agreements, legal/official documents, bid documents, etc.
- Schedule and/or coordinate meetings, seminars, conferences, and training sessions for department staff; act as meeting secretary, including preparing agendas and informational packets, setting up meeting and training rooms, and taking and transcribing minutes for assigned meeting, boards, and commissions; prepares complex departmental agenda items and packets for Board of Supervisor or other committee, commission meetings.
- Compose, type, edit, and proofread a variety of complex documents, including forms, memos, statistical and analytical reports, organization charts, program plans, and correspondence for department staff from rough draft, dictation equipment, handwritten copy, verbal instructions, or from other material using a computer; input and retrieve data and text using a computer terminal; check draft documents for punctuation, spelling, and grammar; make or suggest corrections to drafts.
- Maintain accurate and detailed records, verify accuracy of information, research discrepancies, and record information.
- Perform other clerical/administrative work as required, which may include but is not limited to copying documents, filing/retrieving files, reviewing and processing mail, faxing information, answering the telephone, scheduling appointments and meetings, maintaining calendars, maintaining inventory of supplies and materials, etc.
- Perform various duties associated with personnel administration, which may include establishing and maintaining confidential employee records, coordinating required pre-employment testing, conducting new employee orientations, and processing related paperwork.

The ideal candidate is an experienced administrative professional who can excel in supporting a dynamic Human Resources (HR) office. They demonstrate a comprehensive understanding of HR operations, procedures, and confidentiality requirements, enabling them to perform a wide range of complex administrative and office support duties with accuracy, professionalism, and sound judgment.
The successful candidate is skilled in preparing polished and sensitive correspondence, managing detailed data entry, organizing personnel records, and assisting with the coordination of recruitments, onboarding activities, training sessions, and other HR programs. They are adept at handling front-counter and telephone inquiries with tact and discretion, often serving as the first point of contact for employees, applicants, and the public. They demonstrate reliability in processing invoices, compiling statistical and technical reports, maintaining filing systems, and taking and transcribing clear, comprehensive meeting minutes.
This individual works independently, understands the importance of maintaining confidentiality, and anticipates the needs of both the HR team and the broader organization. They require only occasional guidance when encountering new situations. Their work supports professional-level HR staff in delivering high-quality services across recruitment, labor relations, employee development, and general HR administration.
The ideal candidate represents the Human Resources Office with professionalism, diplomacy, and a high degree of customer service. They communicate effectively, demonstrate respect in every interaction, and contribute positively to a collaborative, solution-oriented HR environment.
Human Resources will assess your application to determine if you are minimally qualified using the following minimum qualifications.
Any combination of the required experience, education, and training that would provide the essential knowledge, skills, and abilities is qualifying.
Administrative Assistant I:
Equivalent to graduation from high school, and two (2) years of increasingly responsible clerical experience at a level equivalent to the County's class of Office Assistant II.
Administrative Assistant II:
Equivalent to graduation from high school, and three (3) years of increasingly responsible office support experience, or two (2) years at a level equivalent to the County's class of Administrative Assistant I.
Licenses and Certifications:
- Some positions may require the possession of a valid Driver's License and maintain a satisfactory driving record.

RECRUITMENT PROCESS
The Human Resources Department will screen all applications to identify qualified candidates. After screening, qualified candidates will be referred to the next step and notified of all further procedures applicable to their status in the recruitment process.
WRITTEN EXAMINATION
A written exam will be utilized to determine an applicant's ranking and placement on the eligibility list. The examination has been tentatively scheduled for the week of August 3rd, 2026. If it is determined that you meet the minimum qualifications and are therefore eligible to participate, you will be notified by email prior to the examination.
If you have taken this examination within six (6) months prior to the scheduled date of the examination, your score will automatically be transferred to this exam, and you are not permitted sit for this examination. If you have taken this examination from greater than six (6) months but within twelve (12) months prior to the scheduled date of the examination, you may elect to transfer that examination score or sit for the examination again; you must contact Human Resources prior to the scheduled exam date to request that your previous score be transferred.
A transferred examination score does not guarantee passing the current examination administration. Examination pass points are set in accordance with the EEOC Uniform Employee Selection Guidelines.
