At the SF Fed, we approach our work with integrity and a commitment to service.As a key member of the Facilities team, the Senior Construction Project Coordinator supports smooth, efficient operations across the 12th District’s Space Planning and Construction Project Management teams. This role helps drive successful renovation projects throughout the District while providing strong technology implementation and workplace platform support. This role maintains essential project workflows, assists with vendor and contract administration, and contributes to limited EHS coordination activities. Working closely with the District Construction Senior Manager, Construction Managers, Project Managers, and Space Planning partners, this role ensures projects run seamlessly and that teams have the tools and information they need to deliver great results.
Key Responsibilities:
- Assist in overseeing, planning, and accomplishing construction projects, ensuring adherence to timelines and budgets. Independently manage small projects, monitor progress, mitigate risks, and ensure quality standards. Collaborate with stakeholders to define objectives, scope, and deliverables, and align project goals with organizational strategy.
- Assist with space planning by managing IWMS platforms, updating floor plans, space assignments, and group relocations, while improving data quality and enabling informed decisions for facility management.
- Provide comprehensive administrative support, including contract and financial tracking, RFP and vendor access management, and ad hoc duties.
- Maintain accurate project documentation, budgets, proposals, and reports, ensuring all records are organized and accessible.
- Support procurement and vendor management, track purchase orders, change orders, invoices, and facilitate vendor communication. Coordinate internal resources, monitor availability and workload, and resolve conflicts to ensure efficient project delivery.
- Serve as the central point of contact for project communications, facilitating meetings, documenting minutes, distributing action items, and fostering collaboration among cross-functional teams. Provide timely updates to interested parties and ensure information flow.
- Guide and support project teams and space layout efforts by identifying efficiencies, developing workflows, and implementing guidelines. Mentor junior staff, promote knowledge sharing, and encourage growth through coaching on project management tools and skills.
- Move beyond task management to strategic vision, process optimization, and long-term planning. Advise on project planning, tracking, reporting, and compliance with governance arrangements. Identify and implement opportunities for innovation and improved execution.
- Proactively identify, evaluate, and manage project risks and critical issues. Support mitigation strategies and raise issues as needed to ensure successful project completion.
- Maintain consistent, professional on-site attendance to oversee facility and project operations, address immediate needs, and ensure implementation
- As needed, assist with EHS (Environmental Health & Safety) administrative tasks as required, ensuring compliance and supporting facility operations alongside broader project responsibilities.
Qualifications:
- Bachelor’s degree in Facility Management, Project Management, Business Administration, Finance, Engineering, or equivalent experience in Facilities work
- Typically, 4+ years of accounting, construction, or real estate support experience preferred
- Strong written and verbal communication skills, excellent customer service and presentation abilities
- Ability to work independently, demonstrate initiative, and collaborate effectively
- Diligent, organized, creative, and proactive
- Full-time, on-site position (5 days/week) presence to oversee project operations, address immediate needs, and ensure a smooth project execution
- Certified Associate in Project Management (CAPM) preferred but not required
Required Software Skills:
- Microsoft Office Suite (Word, Excel, PowerPoint, Project, Outlook)
- Project Management Platforms: Asana (Workplace Management), Tririga (IWMS)
- CAD Software: Experience with CAD tools for space planning support
- Financial Systems: Familiarity with systems (Ariba) for processing invoices, contracts, and amendments
- Presentation Tools: Ability to create and deliver presentations and training materials
Base Salary Range:
San Francisco: MIN: $82,600.00 MID: 107,300.00: MAX: 131,900.00
Los Angeles: MIN: $75,300 MID: $97,600 MAX: $131,900
Final salary and offer will be determined by the applicant’s background, experience, skills, internal equity, and alignment with geographic and other market data.
