POSITION SUMMARY
The Kids Ministry Operations Manager at Cherry Hills Community Church provides operational leadership and ministry coordination for Kids Ministry by translating ministry vision into actionable plans and ensuring excellence in day-to-day execution. Reporting to the Kids Ministry Pastor, this role oversees ministry operations, event logistics, planning processes, communication, administrative systems, vendor relationships, volunteer support, and resource stewardship for ministry serving children from birth through 5th grade. Serving as the primary operational liaison for Kids Ministry, this position partners with church departments, school personnel, vendors, volunteers, families, and ministry leaders to coordinate ministry needs and facilitate successful ministry experiences. Success in this role enables Kids Ministry leadership to focus on discipleship, volunteer development, family care, and strategic ministry priorities while ensuring strong operational support for staff, volunteers, children, and families.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Lead the operational planning and coordination of Kids Ministry by translating leadership vision and direction into actionable plans, timelines, assignments, and measurable next steps.
- Proactively anticipate the operational needs of Kids Ministry by maintaining forward-looking planning processes and ensuring weekend services, ministry initiatives, seasonal events, and special programs are prepared well in advance.
- Coordinate the operational planning and execution of weekend services, seasonal experiences, special projects, family events, and Kids Ministry support for church and school events, ensuring excellence and alignment with ministry priorities.
- Serve as the primary operational liaison for Kids Ministry, partnering with internal ministries and departments, school personnel, vendors, and ministry partners to coordinate ministry needs, facilitate communication, and support successful ministry experiences.
- Manage Kids Ministry calendars, planning schedules, space reservations, classroom use, and operational workflows, ensuring priorities, resources, and ministry commitments remain organized and aligned with leadership direction.
- Facilitate ministry planning processes by documenting key decisions, translating priorities into actionable assignments, managing project workflows, tracking progress, and ensuring timely follow-through and accountability.
- Develop and manage timely, professional communication for volunteers, families, vendors, ministry partners, and internal teams; assist with Cherry Hills Kids social media content in partnership with the Communications Team to maintain brand consistency and ministry alignment.
- Evaluate requests impacting Kids Ministry by assessing scheduling, operational requirements, available resources, safety considerations, and ministry priorities, coordinating solutions within established leadership direction and elevating matters requiring leadership review or approval.
- Coordinate vendor and service-provider relationships, monitor ministry expenditures, process invoices, maintain budget tracking, research products and resources, and coordinate approved purchases and agreements in support of responsible stewardship.
- Oversee operational readiness for Kids Ministry environments and events by preparing classrooms, managing check-in and check-out systems, coordinating curriculum materials, supplies, space reservations, facility needs, and other logistical requirements while serving as a relational presence to families, volunteers, and children.
- Support volunteer coordination by assisting with recruitment, onboarding, scheduling, background checks, and training documentation while maintaining volunteer contact lists, records, and compliance tracking.
- Cultivate meaningful relationships with volunteers through ongoing communication, follow-up, support, and recognition efforts that reinforce unity, encouragement, and a strong culture of service.
- Maintain accurate attendance, volunteer, and safety compliance records using church systems, proactively preparing reports and updates that support ministry planning, readiness, and leadership needs.
- Support weekend services and special events as the operational point person for Kids Ministry, proactively resolving logistical needs and stepping in to lead classrooms when volunteer gaps arise to maintain safe, welcoming, and spiritually supportive environments.

- No direct supervisory responsibility.

Requirements
EDUCATION and EXPERIENCE
Required
- Minimum 3 to 5 years of experience in operations, administration, project coordination, event management, ministry support, or a related field.
- Demonstrated experience coordinating multiple projects, priorities, schedules, and stakeholders simultaneously.
- Experience managing operational details, schedules, communications, administrative processes, and ministry or event logistics with a high degree of accuracy and follow-through.
Preferred
- Bachelor's degree in Business Administration, Nonprofit Management, Ministry Leadership, Education, Communications, Event Management, or a related field.
- Experience supporting a church, nonprofit, educational institution, children's ministry, or similar environment.
- Experience coordinating budgets, invoices, purchasing processes, vendors, inventory, or resource planning.
- Experience with volunteer systems, child check-in systems, background check processes, safety documentation, or ministry databases.
- Familiarity with children's ministry environments and the operational needs associated with serving children and families.
QUALIFICATIONS and COMPETENCIES

- Demonstrated commitment to responsible stewardship of ministry resources, budgets, supplies, facilities, and church assets.
- Ability to maintain organized and accurate systems for volunteer records, ministry schedules, classroom resources, safety documentation, and operational communication.
- Proficient in Microsoft Office Suite (e.g., Word, Excel, Outlook, Teams); able to utilize standard tools for documentation, communication, and task coordination.
- Demonstrate proficiency with common office technologies, including email, printers/copiers, shared drives, and organizational software platforms; able to troubleshoot basic issues and learn new tools quickly.
- Capable of managing multiple tasks and working under pressure.
- Available for evenings, weekends, or holidays as required.
