House Manager & Family Assistant with Meal Prep

Location: Seattle, WA 98103

Employment Type: Part-time 25-30 hours per week

Schedule: Flexible structure based on family needs. Ideal schedule includes school pickups 5 days per week (targeting 4:00-4:30 PM to avoid peak traffic), or morning drop-offs 5 days per week. An alternative 3-day schedule with full-day coverage may also be considered. Flexibility is essential for school holidays and gap childcare coverage when needed.

Compensation: $38-$43/hour

Start Date: ASAP

Requirements

  • Maintain a smoke-free environment
  • Vaccinations (general/COVID/Flu) - up to date
  • Pediatric CPR and First Aid certified (willing to obtain)
  • Must be authorized to work in the United States

About Our Family

We're a dynamic, active Seattle family of five navigating the beautiful chaos of raising three young boys while both parents work full time from home. Our household runs on warmth, creativity, and a whole lot of energy. You'll find us spending weekends at the park, going on bike rides, building elaborate Magna Tile cities, getting lost in Lego sets, and doing arts and crafts projects at the kitchen table.

Our home is well-organized with strong systems already in place, and we have a full-time nanny focused on our youngest, along with biweekly cleaners and regular gardeners. What we're looking for is a skilled, reliable partner who can handle the logistics and execution that keeps everything else running smoothly. With one parent stepping into a new role and the other traveling occasionally, reducing the mental load and freeing up family time is the whole goal. We want someone who can take things off the list and run with them, without needing to be managed.

Our oldest has autism and ADHD and does best with someone who is warm, consistent, and comfortable with some unpredictability. Our middle child is an exceptionally selective eater, so flexibility and patience in the kitchen matter.

Our kids thrive with someone who is silly and playful but also knows how to hold a boundary and keep things moving, ultimately we are seeking a long term extension of our family to create some ease and support our family in this full season of life.

The ideal candidate is someone who walks into a home, reads the room, and gets to work. You don't wait to be told what needs to happen next - you notice, you prioritize, and you execute. You're organized, proactive, and take real pride in doing things right. You're coachable and genuinely curious about how a family likes to operate, not attached to doing things your own way. You ask the right questions upfront, communicate directly, and follow through.

The ideal candidate is an excellent cook who is comfortable with meal planning, batch cooking, and putting together fresh, healthy meals without a lot of hand-holding. You're physically active and capable - wrangling kids, doing school pickups downtown, and keeping up with the pace of a busy household doesn't wear you out, it energizes you. You're warm and playful with children, especially kids who benefit from calm, consistent, and boundaries care. Arts and crafts after school? You're in. A last-minute schedule change? You roll with it.

Above all, you're accountable, coachable, and genuinely invested in being a trusted member of this family's support system.

Key Responsibilities

Meal Planning & Prep

  • Prepare 5 parent lunches per week (bean salads, soups, composed grain and protein bowls, and similar healthy grab-and-go options)
  • Prepare or fully assemble 2-3 family dinners per week, plus ingredient prep for 2-3 additional dinners
  • Batch cook freezer staples (e.g., bolognese sauce, Instant Pot chicken teriyaki)
  • Develop a weekly meal plan that introduces 1-2 new dinners compatible with a selective eater
  • Grocery shopping
  • Kitchen clean-up and maintenance

Family Support

  • School pickups, assist with back-up childcare and occasional light supervision as needed
  • Pack school lunches for the middle child
  • Kid-related errands including birthday party supplies and craft materials
  • Coordinate and manage appointments for the oldest child's support team, including ongoing check-ins and scheduling
  • Calendar management to keep the full family in sync
  • Event planning support: birthday parties, holidays, family photos, vendor coordination

Household Organization & Maintenance

  • Maintain existing household organization systems
  • Daily resets and tidying (dishes, surfaces, high-traffic area vacuuming)
  • Prep home ahead of biweekly cleaner visits; create task lists for cleaning staff and walk through completion
  • Twice-daily entryway resets (shoes, baby-safe entry management)
  • Indoor plant care
  • Humidifier maintenance and refills during winter months
  • Seasonal swaps: clothing, bedding, décor, and donations
  • Occasional organizational projects (baby gear rotation, toy management)
  • Event, holiday, and guest prep
  • Occasional packing and unpacking support for travel

Laundry & Linens

  • Wash, fold, and organize parents' laundry
  • Iron t-shirts
  • Linen rotation: manage children's bed sheets, make beds daily
  • Rotate towels once per week
  • Put fresh sheets out for the housekeeping service for the primary bedroom
  • Maintain laundry areas tidy and well-stocked

Inventory & Errands

  • Restock pantry, fridge, and household supplies
  • Manage running household supply lists
  • Oversee household subscriptions and orders (Amazon, Costco, Target, Thrive Market, diapers)
  • Returns and dry cleaning
  • Gift shopping for school events and children's activities
  • Mail and package handling; breakdown and disposal of boxes

Deep Cleaning & Special Projects

  • Weekly fridge and pantry reset: toss expired items, make room for new groceries
  • Garage refresh and ongoing maintenance
  • Seasonal property maintenance coordination and one-off repair research as needed

Vehicle Upkeep

  • Schedule family vehicle maintenance
  • Take family vehicle for regular washes and interior cleaning
  • Track registration and insurance renewals
