Job Summary:

Aptive Resources is seeking a Management Analyst to support the Investigators, Scientific Review, and Management (ISRM) team within the Department of Veterans Affairs (VA) Office of Research and Development (ORD) under the Field Enterprise Research Support Services (FERSS) contract.

 

This role supports ISRM's artificial intelligence (AI) cross-functional team, which is charged with (1) developing and finalizing policies and procedures governing responsible AI use; (2) identifying opportunities to use AI to alleviate staff workload; and (3) educating and training ISRM staff to use VA-provided AI tools responsibly and efficiently. The position participates in the team's standing meetings, helps track progress against these three goals, and supports staff education and training efforts — either delivering training directly or coordinating with others who deliver it.

 

The successful candidate will demonstrate solid organizational-analysis skills, familiarity with AI/ large language models (LLM) tools, and the ability to help translate team discussions into practical training materials, guidance documents, and process updates for a field-based audience.

 

This is a full-time (40 hours/week), 100% remote position.

Primary Responsibilities

• Participate in ISRM's AI cross-functional team standing meetings and help track progress against the team's core goals.
• Provide recommendations to support development, review, and finalization of policies and procedures governing responsible AI use, currently under review by the team.
• Help identify and evaluate opportunities to use AI tools to reduce or streamline staff workload across ISRM's field-based programs.
• Deliver or support delivery of education and training materials to help employees and field-based staff use VA-provided AI tools responsibly and efficiently, coordinating with other trainers or subject matter experts as needed.
• Track and report on progress toward the AI cross-functional team's goals, including policy status, workload-reduction initiatives, and training completion/adoption.
• Conduct organizational studies assessing ISRM's current policies, position/performance plans, and workforce processes, and identify gaps relative to AI-integration and modernization goals.
• Support harmonization and modernization of ISRM policy/position and performance plans as they relate to AI adoption.
• Conduct surveys, focus groups, and other data collection techniques to assess customer and staff experience with ISRM services and AI adoption efforts.

Minimum Qualifications

• Bachelor's degree in business administration, public administration, organizational development, or a related field.
• 4+ years of experience conducting organizational studies, gap analyses, or program effectiveness assessments.
• Experience with LLMs, digital health and artificial intelligence tools.
• Experience developing training materials, guidance documents, or process improvement recommendations.
• Proficiency with Microsoft Office tools, including Excel, Teams, and SharePoint.
• Strong organizational and communication skills.
• Ability to work independently in a remote environment.
• Ability to obtain and maintain a public trust clearance.
• Legal authorization to work in the U.S.

Desired Qualifications

• Experience supporting or participating in cross-functional teams or working groups.
• Experience delivering or supporting staff training/education sessions.
• Experience conducting surveys, focus groups, or similar data collection methods.
• Experience working in a federal, VA, or large healthcare system environment.
• Strong facilitation and stakeholder communication skills.
