Description
We are hiring an Office Manager for our Stockholm office to independently handle day-to-day operations, facilities coordination, and employee support in a fast-paced international environment. If you are organized, service-minded, and take pride in keeping things running, we would love to hear from you.
This is a hands-on role with real ownership. You will be the go-to person for everything from IT equipment and office supplies to welcoming new starters and coordinating internal events. The mix of recurring tasks and ad hoc problem-solving means no two weeks are the same.
The Multitude Stockholm office employs around 25 people and has offices in central Stockholm on Linnégatan 22. The position is full-time.
What you’ll be doing:
Manage the day-to-day operations of the Stockholm office and ensure a well-organized workplace.
Coordinate facilities, suppliers, maintenance, deliveries, office supplies, and IT equipment.
Support employee onboarding, including workstation setup, system access, and office access.
Assist employees with administrative requests, phone subscriptions, purchases, bookings, and office-related needs.
Welcome visitors and manage post, packages, couriers, and reservations.
Plan and coordinate internal office events and activities.
Support Finance with invoice processing, archiving, and other administrative accounting tasks.
Maintain agreements, certifications, and records while ensuring compliance with GDPR, safety, and confidentiality requirements.
What we are looking for:
Experience or strong capability in office administration, including managing IT equipment for employees and the office, handling post and deliveries, coordinating with external service providers, and keeping office and food supplies stocked.
Strong organizational skills and a structured approach to recurring tasks, including monthly inventory checks, annual service maintenance, archiving for the Finance department, and keeping agreements and certifications up to date.
A proactive and service-minded attitude, with the ability to assist employees across a wide range of day-to-day needs, register fingerprints and manage access, handle phone subscriptions, process tickets, and coordinate purchases
Experience with employee onboarding, including setting up workstations, arranging system access, and ensuring new starters have what they need from day one.
Ability to coordinate and execute office events, handle courier services, and act as the primary contact for external service providers for the facilities
Experience from accounting and ability to support the finance team with invoice processing and other administrative accounting tasks when needed
Comfort with general administration, including receiving guests and packages, managing bookings and reservations, and handling a broad mix of tasks independently without close supervision.
Good judgement around compliance and confidentiality, including an understanding of GDPR, office safety requirements, and proper handling of sensitive information
The starting salary for this position is 23,000 SEK gross per month.
