ABOUT THE ROLE: The Director of Finance owns the financial operations of Stadionic end to end. This person is accountable for cash — collections, forecasting, and the banking relationship — and for the accuracy of every number that leaves the building, from the monthly reporting package to the materials our lenders and advisors see. They lead the accounting function alongside our Accounting Manager and outsourced bookkeeping firm, own multi-state tax compliance as we grow across state lines, partner closely with Operations and Project Management on job costing and margin, and give the CEO and Leadership Team financial information they can make decisions on — including how we use credit and financing to fund growth. This is a hands-on leadership seat with no CFO above it: the person in this role is the finance function's highest authority day to day.
What will I do in this role?
- Own accounts receivable and collections — the strategy and the result, not just the calls. Drive DSO to a 60-day target, working with the collections team, Project Managers, and customer AP departments.
- Own accounts payable, approvals, and vendor payment timing in line with cash position.
- Own the month-end and year-end close — reconciliations, journal entries, and accruals — working with the Accounting Manager and the outsourced bookkeeping firm.
- Own the 13-week rolling cash forecast. The bookkeeping firm produces the mechanics; this role is accountable for whether the forecast is right and what the company does about it.
- Own the banking relationship and the line of credit — borrowing base and covenant reporting, draw and paydown decisions, and the case for expanded credit as the company grows.
- Build the case for how we use debt. Model borrowing capacity, cost of capital, and equipment, vehicle, and facility financing options, and bring the CEO clear recommendations on using leverage as a tool to fund growth. The CEO owns the capital allocation decision; this role owns the analysis behind it and the execution after it.
- Prepare the monthly and quarterly financial reporting package delivered to ownership, lenders, and outside advisors, with clear commentary on results.
- Oversee job costing, WIP, and margin reporting with Project Managers; keep cash-basis and accrual books reconciled and job-level profitability visible.
- Manage pay applications, retainage, lien waivers, and billing cadence across construction and institutional customers.
- Build and maintain internal controls and written accounting procedures — if it wasn't documented, it never happened.
- Lead the annual budget and forecast cycle and report budget-to-actual variances to Leadership.
- Own multi-state tax compliance. Track nexus as we work across state lines; make sure sales and use tax is correctly collected and accrued under each state's contractor rules; manage exemption certificates for tax-exempt institutions; file and pay sales, use, income, and franchise returns on time in every state we operate in; maintain registrations with each department of revenue and stay current as rules change.
- Direct the outside bookkeeping firm — set the scope, the calendar, and the standard of work, and review what comes back rather than accepting it.
- Serve as the company's day-to-day partner to our outside CPA firm. Deliver clean, timely books and a maintained fixed asset schedule; support tax planning with accurate depreciation, apportionment, and year-end positions so the company and its owners are never scrambling at filing time. Coordinate the annual audit or review.
- Maintain and report on all company debt obligations — bank debt, equipment and vehicle notes, and shareholder notes — including balances, interest accruals, covenants, and scheduled repayments in the monthly reporting package
- Own the financial administration of the 401(k) plan — fund and remit contributions on time, reconcile payroll contributions to the recordkeeper, provide census and compliance testing data alongside HR, review plan fees and provider performance, and manage the Form 5500 filing and any required plan audit.
- Manage insurance, bonding, and licensing compliance.
- Develop the accounting team — coach, train, and build capability alongside the Accounting Specialist.
What skills and experience do I need?
You will thrive in this role if you have run a finance function without a CFO above you, are comfortable owning the number rather than reporting it, and enjoy building the systems a growing company needs. We're looking for someone with:
EDUCATION & EXPERIENCE: Bachelor's in Accounting, Finance, or related field; 7+ years of progressive experience including 3+ owning close, cash, and reporting at a company with no CFO above the role. CPA, CMA, or MBA a plus.
BANKING & LENDER EXPERIENCE: Has personally managed a bank or lender relationship — covenant and borrowing base reporting, credit line management, and presenting financials to outside parties.
CONSTRUCTION & PROJECT ACCOUNTING: Working knowledge of job costing, WIP schedules, percentage of completion, pay applications, retainage, and lien waivers. Construction or project-based industry strongly preferred.
CASH & COLLECTIONS COMMAND: Proven record moving DSO and holding a collections process accountable across direct customers and general contractor AP departments.
SOFTWARE PROFICIENCY: Advanced Excel (modeling, pivot tables, lookups) and QuickBooks; experience with job-costing, payroll, or ERP systems. Comfortable adopting new tools.
LEADERSHIP SKILLS: Able to lead, coach, and develop a small accounting team and an outsourced bookkeeping partner while keeping a positive, supportive culture.
COMMUNICATION SKILLS: Explains financial results in plain language to non-finance leaders, and is credible in the room with bankers, CPAs, customers, and advisors.
ANALYTICAL & PROBLEM-SOLVING: Spots trends, researches discrepancies, and brings practical recommendations rather than raising problems alone.
CONFIDENTIALITY & ETHICS: The highest standard of integrity with sensitive company, payroll, and ownership information.
MULTI-STATE TAX COMPLIANCE: Has managed sales, use, and income tax across multiple states — nexus determination, contractor tax treatment, exemption certificates, registrations, and filings. Experience with tax-exempt institutional customers a strong plus.
CPA & TAX PARTNERSHIP: Track record working alongside an outside CPA firm for a closely held, pass-through business — maintaining fixed asset schedules, supporting depreciation and year-end planning, and delivering what the accountants need on time.
CAPITAL & FINANCING ACUMEN: Understands how to use debt as a growth tool — borrowing capacity, cost of capital, equipment and facility financing — and can model options and present a recommendation, not just a report.
OWNERSHIP & INITIATIVE: Operates without being managed day to day, sets the cadence of the close and the cash cycle, and holds the calendar.
How will my performance be evaluated?
Your success as the Director of Finance will be evaluated based on:
- Days sales outstanding against the 60-day target, and the overall health of the receivables aging.
- Accuracy and timeliness of the monthly close and the financial reporting package.
- Reliability of the cash forecast measured against what actually happens.
- Strength of the banking relationship and the company's access to credit.
- Quality of internal controls, documented procedures, and clean audit or review outcomes.
- Multi-state tax compliance — no missed filings, no penalties, no surprises from a department of revenue.
- Quality of the outside bookkeeping firm's work and how well it is directed and reviewed.
- Readiness of books, schedules, and support provided to our outside CPA firm at year-end.
- Accuracy of job costing and margin reporting, and the value of that information to Operations.
- Development, accountability, and engagement of the accounting team.
- Alignment with Stadionic's culture of safety, service, and teamwork, and integrity in handling confidential information.
