The Administrative Assistant provides comprehensive administrative, operational, and technical support to the department. This role is responsible for coordinating educational program schedules, including room management, supporting classroom and meeting technology, maintaining learning management system records, processing department documentation, and ensuring educational resources and supplies are available to support learners, educators, and departmental initiatives. The Administrative Assistant serves as a key resource to ensure the efficient day-to-day operation of the department while delivering excellent customer service to internal and external stakeholders. Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, Outlook, and Teams is required. Other skills include, excellent verbal and written communication skills, ability to manage multiple priorities and work independently, strong organizational time management and customer services skills. Experience using Smartsheet or a Learning Management System software preferred.Job Description
Key responsibilities include:
- Compose, prepare, proofread, and distribute correspondence, reports, presentations, meeting agendas, and meeting minutes.
- Prepare monthly reports, billing documentation, reimbursement requests, and other departmental records.
- Coordinate and manage department calendars, meetings, and room reservations.
- Maintain classroom schedules and assist with scheduling educational offerings across multiple locations.
- Provide general administrative support to department leadership and education team members.
- Serve as a point of contact for team members, learners, instructors, vendors, and community partners.
Educational program support:
- Complete attendance rosters and maintain accurate course records.
- Enter, update, and manage educational activities and participant information within the Learning Management System (LMS), Outlook, Success Center, and other department software programs.
- Support educational program logistics, including classroom setup, registration management, and communication with participants.
- Generate reports related to courses, attendance, completions, and program outcomes.
Technology support:
- Prepare, distribute, and troubleshoot educational technology equipment used during meetings, classes, and training sessions.
- Utilize Microsoft Teams and other virtual learning platforms to support hybrid and virtual educational experiences.
- Assist educators with classroom technology needs and presentation support.
- Ensure classrooms and learning spaces are appropriately equipped and functioning.
Qualifications
High school diploma or equivalent preferred.Applicable experience preferred.
Based on facility needs, may require a valid driver’s license and maintain a good driving record.
