POSITION PROFILE
The overall objective and purpose of the Group Sales & Business Travel Services Manager is to plan for group meetings, conferences, driving revenue and market share for the business travel market through strategic sales initiatives and effective relationship management.
This role requires an understanding of the travel industry and a proven track
record in sales. The ability to multi-task, work under pressure, meet deadlines and achieve daily targets, whilst offering a very high level of Customer Service is a must.
ESSENTIAL RESPONSIBILTIES
- Receive and complete inquiries for group meetings, events, and rooms only groups. Distribute to appropriate Sales Manager based on the Sales Team Deployment.
- Directly sell, book, and service Entertainment, Media, and VIP groups.
- Build strong relationships with customers to fully understand their needs.
- Create detailed event orders & diagrams to meet the specifications of the client, enter rooming lists, manage room blocks, food and beverage requirements, meeting room setups, billing, and other additional needs of the client.
- Maintain proper documentation of events, changes, and special requests with updated Banquet Event Orders, group resumes, and rooming lists. Provide accurate and concise information to all departments.
- Organize and conduct site visits, pre-planning visits, pre-con, and post-con meetings.
- Function as the on-site contact to client and address challenges or concerns immediately.
- Maximize revenue by selling all facets of the hotel to include restaurant, bar, patio, and outlets for upselling.
- Ability to work with vendors to ensure client satisfaction for all groups.
- Communicate and enforce contractual agreements with the client pertaining to meeting space, food and beverage, and special concessions.
- Responsible for the collection of attrition charges owed, as directed.
- Ensure that all guest checks, payments, master folios, and advanced deposits are submitted to accounting; ensures that any other information, which is necessary and/or helpful for successful catering or group business is submitted to appropriate departments, as directed.
- Ensure Hilton Honors points are posted following the conclusion of the event, as directed.
- Collaborate with culinary operations to assist in the development, design, and implementation of custom menus.
- Work with sales team to prepare and distribute Group Resume Packet to hotel staff weekly.
- Create Daily Event Posting and distribute to all departments.
- Generate thank you notes for departed groups
- Greet all clients (in rotation with sales manager/DOSM for room's only groups) as they arrive on the day of arrival.
- Competently utilize the required systems/equipment and platforms to effectively detail and track the progress of groups from turnover through execution.
- Maintain accurate, organized, and up-to-date files including computer filing and sales platform records (attachments, traces, activities, etc.).
- Attend daily ops stand up to provide details on arriving groups, in-house groups, VIPs, and other items as needed
- Review arrivals report to verify room rates, market segments, and company profiles attached.
- Provide potential new BT Account info to BT Sales Manager, as needed
- Verify package guest amenities are coordinated with the front desk to ensure guest receives.
- Complete amenity forms & note cards and coordinate to ensure guest receives. Log in amenity tracker.
- Identify VIP Sales guests and coordinate room assignments with front desk, housekeeping, and food & beverage.
- Complete required reporting and documentation.
- Directly sell, track, organize, and communicate details for all photo and video shoot bookings.
- Continue professional development through educational offering made via industry trade groups and educational hospitality associations.
- Encourage repeat business through excellent customer service and inquiry handling.
- Create & log requested gift certificates as directed.
- Log all redeemed gift certificates in tracker to ensure proper usage.
- Other duties and tasks assigned by the management within the job scope.
REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES

- Knowledge of Delphi, including merging menus, blocking function space, and creating BEO's.
PHYSICAL DEMANDS
- Outside sales calls, servicing groups, site inspections, attending meetings, travel and community/ industry functions
- Lift up to 10 lbs.(amenities when making sales calls, attending trade shows, etc.)
