Why this is an exciting opportunity


We’re looking for a permanent Investment Administration Officer, Rebates to join our Investment Operations team at HUB24. This role plays an important part in ensuring the accuracy, efficiency and integrity of key investment-related processes, with a particular focus on rebate payments, rebate agreements, cash reconciliations and operational reporting.

You’ll work closely with a range of internal and external stakeholders, including Fund Managers, Portfolio Providers, Product, Legal, Compliance, Finance, Risk, Client Service and Operational teams, helping to keep critical investment administration processes running smoothly and effectively.

This is a great opportunity for someone with financial services experience who enjoys working with detail, solving problems, building strong relationships and contributing to process improvements in a fast-moving environment.

What you’ll be doing


  • Processing and validating rebate payments received from Fund Managers, Portfolio Providers and other entities.
  • Following up with Fund Managers and Portfolio Providers on any rebate discrepancies, delayed receipts or rate variances.
  • Coordinating the creation, onboarding and maintenance of rebate agreements for Fund Managers and Portfolio Providers.
  • Acting as a point of contact for ManagerHub access, including initial set-up and onboarding new funds for reporting.
  • Supporting cash reconciliation activities, including the reconciliation and settlement of cash received into custody.
  • Investigating and allocating unknown deposits, including submitting unclaimed monies to ASIC and other regulatory bodies where required.
  • Processing direct debit, electronic funds transfer and BPAY transactions.
  • Updating administration systems relating to rebates and cash movements.
  • Liaising with Portfolio Providers, Fund Managers, Advisers and clients to support timely and accurate outcomes.
  • Contributing to ad hoc projects and identifying opportunities to streamline and improve existing processes.


What you bring

Experience & Skills


  • Minimum 2 to 3 years’ experience in financial services, ideally within a similar Investment Operations position.
  • Strong attention to detail and problem-solving capability.
  • Strong written and verbal communication skills.
  • The ability to build trusted working relationships with internal and external stakeholders.
  • Knowledge of managed funds, Australian securities and fee rebates, which would be highly regarded.
  • Knowledge of Australian banking and payment processing.
  • An understanding of financial products and instruments available in the domestic market, with cash experience considered highly desirable.
  • A commitment to delivering high standards of client service while balancing commercial priorities.
  • A flexible, agile approach and the ability to respond effectively in a fast-moving environment.
  • A continuous improvement mindset and a calm, considered approach when working under pressure or to deadlines.
