Summary
The Payroll Administrator fully performs the bi-weekly payroll process from collection of time data to distribution of pay and assists with the administration of the day-to-day operations of the Human Resources department functions and duties. In addition to regular payroll responsibilities, the position carries out responsibilities in some or all of the following functional areas: employee relations, training and development, benefits administration, compensation, employment, departmental development, and HRIS.
Requirements
Essential Duties and Responsibilities:
Payroll
- Prepare and process bi-weekly payroll accurately and timely following the required process in Paylocity. Gather data; perform data entry; balance; submit hours, make adjustments as needed. Research and resolve associate discrepancies.
- Maintain employee attendance records. Track specific attendance situations that may arise.
- Compile data from personnel/payroll records for month end reports including but not limited to overtime report and bonus breakdown report.
Human Resources
- Record and maintain employee information such as personal data, compensation, benefits, tax data, performance evaluations, hires and terminations, maintaining compliance with applicable legal requirements. Update records as changes occur. Submit changes of address to appropriate benefit providers.
- Maintain knowledge and interpret company policy and government regulations affecting payroll and human resources procedures and processes, such as overtime calculations, leave of absences requirements, etc.
- Process terminated employees. Timely process applicable benefits for cancellation or continuation, meeting any legal requirements necessary. Notify appropriate departments of terminations to remove email and internet access.
- Timely and accurately prepare monthly benefit premium payments, including making any appropriate adjustments, deletions, additions, etc. Submit online payments and check requests as needed. Provide accounting with appropriate documentation.
- Maintain renewal schedule for DOT required medical cards. Schedule appointments and follow up to ensure completion. Obtain and maintain appropriate documentation for DOT files.
- Generate data from personnel/payroll records to compile census information for benefit reviews or other needs.
- Examine employee files/data and answer inquiries and provide information to authorized persons, such as unemployment claims, employment verifications, etc.
- Support the recruiting/hiring process by performing background checks, or assisting in other steps as needed.
Training/Education
- Initiate process and ensure appropriate safety training (i.e. forklift, back) is completed as required. Maintain records to ensure renewal training is completed.
- Assist in curriculum development and assignment.
- Assist associates with access and set-up as needed.
- Assist in tracking and reporting.
- Keep track of license codes issues. Inactivate individuals who are no longer with Butler Supply and recycle license codes assigned to them if still within one (1) year time frame and have not been activated.
Miscellaneous
- Participate in on-going training and development to stay abreast of payroll and HR law requirement and law changes.
- Maintain strict confidentiality in all aspects of work. Be familiar with specific legal requirements in handling personal information.
- Perform miscellaneous tasks as requested including filing, special projects, etc.
- Respond to internal and external inquiries or requests and provide assistance.
Preferred Qualifications and Desired Skills:
- Ability to maintain the highest level of confidentiality as part of the confidential nature of human resources and payroll related work.
- Strong attention to detail, above average accuracy, strong organizational skills.
- Strong numerical aptitude, math, reading and comprehension skills.
- Strong work ethic and dependability.
- Technologically proficient - Mid-level to advanced Excel skills preferred, competent in Word, PowerPoint and email.
- Tact and above average communication skills - verbal, written, listening.
- Ability to create professional correspondence and communications with proficiency in grammar, spelling, etc.
- Ability to work effectively with, and convey a positive, courteous, and professional image to, all associates, applicants, vendors, etc.
- 5 years related experience.
- Degree or equivalent experience preferred.
Physical/Mental Requirements:
- Regularly required to speak clearly, hear; identify numbers, perform calculations, read and comprehend written and verbal material and instructions.
- Regularly required to apply sound reasoning and logic performing daily tasks.
- Regularly performs sedentary work that involves walking or standing some of the time and performs routine keyboarding operations.
- Ability to effectively multi-task and deal with change positively.
