Description
Success in this role means proactively supporting dispatch operations, reducing service interruptions, maintaining accurate communication across stakeholders, and helping resolve operational issues before they impact customers or drivers. This individual contributes directly to operational performance, fleet readiness, customer satisfaction, and overall business continuity.
This is a mission-critical support role for a fast-paced transportation environment where responsiveness, attention to detail, and operational execution drive business results every day.
What you’ll do
1. Support Daily Dispatch Operations
- Assist Load Planners, Customer Service Representatives, and dispatch personnel with day-to-day operational activities.
- Coordinate communications between drivers, customers, shippers, receivers, and internal teams.
- Assist with dispatching city drivers, scheduling deliveries, and managing pickup requests.
- Route, organize, copy, sort, and file freight documentation accurately and efficiently.
- Help ensure freight movements remain on schedule and operational commitments are met.
2. Deliver Exceptional Driver & Customer Support
- Serve as a professional point of contact for drivers and customers through phone, email, and Electronic Logging Device (ELD) communications.
- Respond promptly to inquiries, ensuring stakeholders receive timely updates and support.
- Contact drivers regarding pre-plans, appointment confirmations, route information, and operational updates.
- Assist drivers by obtaining facility directions and updating internal systems with verified information.
- Build trusted relationships through accurate communication, responsiveness, and reliable service.
3. Monitor Compliance & Operational Risk
- Serve as a professional point of contact for drivers and customers through phone, email, and Electronic Logging Device (ELD) communications.
- Respond promptly to inquiries, ensuring stakeholders receive timely updates and support.
- Contact drivers regarding pre-plans, appointment confirmations, route information, and operational updates.
- Assist drivers by obtaining facility directions and updating internal systems with verified information.
- Build trusted relationships through accurate communication, responsiveness, and reliable service.
4. Coordinate Fleet Maintenance & Equipment Support
- Assist maintenance personnel with scheduling preventive and corrective maintenance activities.
- Communicate with repair facilities and vendors to coordinate service requirements.
- Research and locate repair providers when drivers experience equipment issues in the field.
- Support repair authorization processes, including issuing purchase orders and processing approved payments.
- Assist with equipment tracking activities, including securing and documenting trailers when required.
5. Maintain Operational Accuracy & Financial Controls
- Process approved operational expenditures, including lumper fees, washout payments, repair payments, and related expenses.
- Verify supporting documentation before issuing payments or purchase orders.
- Confirm trailer temperature information and escalate discrepancies that may impact customer product requirements.
- Maintain accurate records and ensure operational information is properly documented in company systems.
- Support data integrity and reporting requirements across dispatch and maintenance functions.
6. Contribute to Team & Business Performance
- Maintain a clean, organized, and professional work environment.
- Support departmental goals through collaboration, accountability, and proactive communication.
- Assist teammates during high-volume operational periods.
- Follow established office procedures, policies, and workplace expectations.
- Perform additional duties and special projects as assigned to support business needs.
What you bring
- Required Qualifications
- High School Diploma or GED required.
- 1+ years of experience in transportation, logistics, dispatch, customer service, fleet operations, or a related environment preferred.
- Strong written and verbal communication skills.
- Ability to read, understand, and follow operational procedures, safety guidelines, and work instructions.
- Ability to write professional correspondence and maintain accurate records.
- Proficiency with Microsoft Office applications, including Outlook, Word, and Excel.
- Strong organizational skills with the ability to manage multiple priorities simultaneously.
- Ability to work independently and make sound decisions in a fast-paced environment.
- Strong phone etiquette and customer service skills.
- Demonstrated attention to detail and accuracy.
- Preferred Qualifications
- Bachelor's Degree in Transportation, Logistics, Supply Chain, Business, or a related field.
- Transportation or trucking industry experience.
- Working knowledge of Hours of Service (HOS) regulations.
- Experience with Electronic Logging Devices (ELDs).
- Familiarity with Qualcomm, Rand McNally, PeopleNet, or similar fleet management platforms.
- Experience using McLeod software.
- Exposure to maintenance coordination, fleet operations, or repair vendor management.

Compensation & Setup
- Pay: $18.00 per hour
- Location: Onsite – Commerce, CA
