Position Title: Practice Administrator
Reports To: Board of Directors / Physician Partners
Location: 6530 Troost Ave STE A Kansas City, MO 64131
Employment Type: Full-Time
Position Overview:
We are seeking an experienced, dynamic, and strategic Practice Administrator to lead and manage the day-to-day and long-term operations of our medical practice. This is a high-impact leadership role, responsible for overseeing key areas of finance, human resources, physician and staff coordination, infrastructure, and compliance.
Key Responsibilities:
Leadership & Strategic Oversight
- Mentor, coach, and advise physicians, managers, and staff.
- Lead monthly manager meetings and monthly Board meetings, including preparation of agendas, reports, and minutes.
- Plan and lead all-staff meetings and corporate communications.
Financial & Operational Management
- Prepare and analyze monthly financial reports; coordinate quarterly distributions.
- Communicate with corporate accountant, bank, and attorney on financial and legal matters.
- Review and approve wage offers, conduct annual salary evaluations, and oversee payroll for salaried/professional employees.
- Manage corporate budgets, expense review, and cash flow discussions.
Human Resources & Talent Management
- Oversee physician, manager, and staff recruitment, onboarding, and departure processes.
- Conduct annual evaluations for managers, clinical staff, and APP providers.
- Coordinate employee benefits, 401K plans, and malpractice coverage.
- Provide day-to-day HR planning and advice on staffing issues and conflicts.
Practice Growth & Infrastructure
- Coordinate physician partnerships and recruitment.
- Negotiate insurance contracts and office lease renewals.
- Lead construction and leasehold improvement projects.
- Participate in meetings with hospital administration and external partners as needed.
IT & Compliance
- Coordinate technology upgrades and migration projects.
- Investigate and review new service agreements and vendor contracts.
- Maintain all corporate files and records, ensuring compliance with regulatory standards.
Marketing & Patient Relations
- Oversee practice marketing initiatives.
- Handle escalated patient complaints that have already been reviewed by managers.
Qualifications:
- Proven experience in healthcare administration or practice management.
- Strong financial acumen and familiarity with payroll, benefits, and financial reporting.
- Excellent leadership, coaching, and communication skills.
- Experience with HR processes, contract negotiation, and strategic planning.
- Ability to work collaboratively with physicians, staff, and external stakeholders.
- Proficiency in managing infrastructure upgrades and facility projects is preferred.
- Masters Degree in Business or Healthcare Administration required
- Minimum of 5 years' experience in management required
