Description
1) GENERAL DESCRIPTION
- To manage the Human Resource Management Services and to ensure Human Resource Management services are operating efficiently and effectively.
- To ensure all staff adhered to policies and procedures set by the Company.
2) JOB DESCRIPTION
- Implements Human Resources programs by providing Human Resource Management services, including staffing, employment processing, compensation, health and welfare benefits, records management, safety and health, succession planning, employee relations and retention, legal compliance, and employee relations; completing personnel transactions. Ensure all activities are applicable to all level of staff and follow the company policy and guidelines.
- Implements Human Resources programs by providing Human Resource Management services, including talent acquisition, staffing, employment processing, compensation, health and welfare benefits, training and development, records management, safety and health, succession planning, employee relations and retention, legal compliance, and employee relations; completing personnel transactions. Ensure all activities are applicable to all level of staff and follow the company policy and guidelines.
- To monitor payroll process and highlight discrepancies to CEO/GM and when it occurs. Ensure all claims and deductions are made accurately.
- To support Performance Management System (PMS); to provide assistance and facilitate other Head of Services and employees; to assist in preparing report/presentation.
- To coordinate, check, recommend and comment on staff annual appraisal and maintain quality of staff performance.
- Administer benefits and compensation programs, to include claims resolution, change reporting, approval for payment and communicating benefit information to employees.
- Ensure all claims and deductions made accurately.
- Maintains human resource information system records and compiles reports from the database; successfully implement new modules as directed from time to time by Group Human Resource (GHRM) such as Workday, InetBoss, PMCare and LearnNova.
- Ensure the information provided is up to date.
- Participates in administrative staff meetings and attends other meetings and seminars. Maintains company organization charts and the employee directory. Ensure participation in all activities.
- To assist HOS in developing Job Description and Job Profile.
- Preparing letter of confirmation/ extend of confirmation and assist head of services in documentations.
- Responsible on post hiring process such as preparing acceptance of resignation, exit interview and etc.
- Handles employee relations matters- schedule and provide for counselling session, attending any misconduct or grievance reported and exit interviewing when necessary. Ensure all execution of disciplinary actions as approved by the Management and the decision proposed are take are in line with Employment Act 1955 and Industrial Act 1967.
- To prepare monthly salary, calculate salary for staff newly joined & resign, overtime, unpaid leave,Student allowance, bonus and increment, staff personal deductions and yearly EA statement. To ensure correct calculation and to ensure all claims and deduction made accurately. Employees are paid accurately and in a timely manner.
- To key in personal data transaction, calculation, processing salary transaction and successful closed salary of the month through HRIS system. To ensure the accuracy of payroll.
- Responsible to check thoroughly salary process preparation and to get approval from CEO. Ensure salary report including reconciliation for documentation and to get approval from CEO. Ensure submission of payroll to HQ by 15th of each month as to ensure salary to be credited into staff account by 26th of each month.
- Protects organization's value by keeping information confidential. Ensure every information to be treated with high confidentiality.
- Performs other related duties as required and assigned by CEO of the Hospital or Company. Ensure ad-hoc task be performed as and when required.
- Attend to any misconduct or grievance reported. Schedule for counselling session, execution of disciplinary actions as approved by the Management. Ensure every decision proposed and take are in line with Employment Act 1955 and Industrial Act 1967.
- Liaise with government statutory bodies i.e income tax, SOCSO, Labour Office, EPF and any other professional/institutions on any related HR matter. Ensure any action taken is in line with Statutory requirement.
- Prepare various HR Report for management and board of Director Meeting. Ensure the information provided is up to date.
3) JOB REQUIREMENT
- Bachelor’s degree in Human Resource Management, Business Administration or related field.
- At least 2 years relevant HR experience in a generalist or HR operations role, preferably in the health Industry.
- Good communication skills in English and Bahasa Malaysia.
- Can work independently with minimum supervision.
- Ability to work in high volume environment and meets deadlines.
- Experience in healthcare or service-based industry is an advantage.
- Familiarity with HRIS systems and payroll coordination preferred.
- Understanding of HR processes and employment legislation.

- Strong organisational and administrative capability.
