Role Purpose:
The Administrative Assistant provides day-to-day administrative support to the Administrative Operations & Travel Manager, while also assisting departments across the organization with mail, equipment, and general office needs. This role is a key point of contact for employees seeking help with routine administrative and equipment-related matters.
Key Responsibilities:
Administrative Support
- Retrieve incoming mail every day and distribute it to the appropriate departments.
- Scan, organize, label, and electronically file incoming mail and documents.
- Answer and direct incoming office phone calls.
- Track action items and maintain department spreadsheets.
- Provide general administrative support for daily office operations.
Fleet Management Support
- Assist with company vehicle administration, including vehicle registration renewals, insurance renewals, DMV documentation, and filing vehicle-related paperwork.
Corporate Card Program Support
- Serve as a backup resource for employee questions.
- Assist employees with basic corporate card inquiries and direct complex issues to the Administrative Operations & Travel Manager.
- Note: This role does not include administrative access to corporate card systems or accounts. Card issuance, limit changes, cancellations, and account-level troubleshooting remain the responsibility of the Administrative Operations & Travel Manager.

Equipment & Asset Management
- Assist with new hire equipment shipments, including preparing and packaging laptops, phones, accessories, and other company equipment.
- Coordinate equipment deliveries with employees.
- Assist with offboarding equipment returns, track returned equipment, and maintain equipment logs.
Travel Support
- Assist the Administrative Operations & Travel Manager with travel inquiries requiring additional coordination or follow-up.
- Support travel documentation as needed, such as help with travel insurance.
Event Support
- Assist with the setting up of company events as requested by the Administrative Operations & Travel Manager.
General Office Operations
- Assist with special projects and administrative initiatives.
- Support document organization and filing projects.
- Help maintain office supplies and administrative resources.
- Provide backup support for various operational tasks as business needs require.
Required Qualifications:
- 1+ years of experience in administrative support, office coordination, or a related role.
- Strong organizational and time management skills.
- Excellent attention to detail.
- Ability to prioritize multiple tasks in a fast-paced environment.
- Strong written and verbal communication skills.
- Proficiency with Microsoft Office (Outlook, Word, Excel, and Teams).
- Ability to maintain confidentiality and professionalism.
- Customer service mindset with a willingness to assist employees across multiple departments.
Preferred Qualifications:
- Experience supporting equipment logistics or asset tracking.
- Experience in a fast-paced or multi-department office environment.
The salary range for this position is dependent upon experience, education, and qualifications.
