Overview
The MBA Program Coordinator I reports to the MBA Associate Director in the Marketing, Strategy, Leadership, and Entrepreneurship (MSLE) Department in the Jon M. Huntsman School of Business. In conjunction with a highly collaborative office staff, the successful candidate will have responsibility for advising students, program marketing and recruiting, development of program improvements, and supervision of student employees.
Responsibilities
Marketing, Recruiting, and Student Headcount Growth
- Advance student headcount growth by continually expanding the program’s reach across the State of Utah and beyond and raise awareness of the benefits of the Utah State MBA Program
- Develop and execute comprehensive marketing and recruitment strategies in collaboration with MBA program leadership to attract high-quality candidates and achieve enrollment targets for Executive and Online MBA programs.
- Plan and coordinate a diverse portfolio of recruitment events including business conferences, industry summits, corporate education fairs, employer site visits, university information sessions, open houses, graduate school fairs, classroom presentations, and other outreach initiatives designed to expand the applicant pipeline.
- Identify, cultivate, and recruit high-potential prospective students through targeted outreach, lead generation, relationship-building, and personalized enrollment counseling for Executive and Online MBA programs.
- Build and maintain strategic relationships with prospective students, alumni, corporate partners, university stakeholders, faculty, and community organizations to strengthen recruitment networks and increase program visibility.
- Direct the development and execution of integrated marketing campaigns and recruitment materials, ensuring consistent messaging across print, digital, email, and promotional channels.
- Partner with marketing teams to align recruitment initiatives with brand promotion efforts, leveraging website content, social media platforms, digital advertising, email marketing, and CRM tools to drive engagement and conversions.
- Monitor, analyze, and report on recruitment and marketing performance metrics, preparing data-driven reports, enrollment forecasts, and recommendations to optimize campaign effectiveness and support strategic decision-making.
- Represent MBA programs as a brand ambassador at professional, corporate, educational, and community events to increase awareness, enhance reputation, and generate qualified applicant leads.
Advising
- Provide comprehensive academic advising and student support to Executive and Online MBA students from diverse professional, educational, and cultural backgrounds, ensuring understanding of program requirements, policies, and academic expectations.
- Guide students in developing individualized plans of study to satisfy degree requirements and achieve educational and career objectives. Interpret and communicate university policies and procedures, evaluate petitions and program modifications, monitor academic progress, and proactively identify and address potential barriers to student success.
- Design, coordinate, and facilitate onboarding programs, orientations, and student engagement events, delivering presentations and academic guidance to support a successful transition into MBA programs and promote student retention.
- Track and support student progression throughout the MBA lifecycle by utilizing CRM systems, student information systems, and analytics tools to monitor engagement, manage program milestones, improve completion rates, and enhance the overall student experience.
- Serve as a liaison and resource for Executive and Online MBA programs, collaborating with the Graduate School, university departments, faculty, staff, and external educational institutions to ensure effective communication, student support, and program compliance.
- Cultivate strong relationships with current students, prospective students, alumni, faculty, and campus partners to foster student success, strengthen program engagement, and support the strategic goals of MBA programs.
- Champion student learning and satisfaction by supporting program leadership, staff, and faculty members, who help students develop new skills, values, and perspectives, and graduate as leaders of distinction in their companies, communities, and families.
Program Development, Program Delivery, and Student Satisfaction
- Collaborate with MBA program leadership and university stakeholders to develop, enhance, and strategically grow Executive and Online MBA programs, ensuring alignment with student needs, industry trends, accreditation standards, and institutional goals.
- Assess student, faculty, and market needs through data analysis and stakeholder feedback, and develop recommendations for curriculum enhancements, program improvements, and new initiatives that strengthen student outcomes and program competitiveness.
- Partner with faculty and administrators to evaluate program effectiveness, identify opportunities for innovation, and support the continuous improvement of MBA curriculum, delivery methods, and student services.
- Facilitate effective communication and collaboration among faculty, administrators, and university support units to ensure the seamless operation of MBA programs and the successful execution of academic, administrative, and programmatic initiatives. Supervise and mentor student employees, overseeing course delivery, event coordination, travel logistics, and program support services.
- Analyze student data and program outcomes to identify trends, assess student needs, and recommend process improvements that enhance advising services, student engagement, retention, and graduation outcomes.
- Promote student satisfaction through positive, responsive communication, effective conflict management, and strong customer relations skills.
Alumni Engagement and Post-Graduate Success
- Support the MBA Associate Director and staff as they work to engage with students after graduation, including caring about and tracking alumni post-graduate success as a core measure of the program’s impact.
- Support the MBA Associate Director and staff as they invite MBA alumni to refer future applicants to the MBA Program and stay connected to current students, fellow alumni, and the Utah State MBA Program.
Qualifications
Minimum Qualifications
- Bachelor's degree required OR four years of related experience.
- Interpersonal and customer relations skills, especially the ability to work with business professionals and diverse populations.
- Strategic skills, especially understanding the big picture and long-term vision of the MBA programs and utilizing creativity and entrepreneurial spirit to creatively design strategic plans.
- Organizational, administrative, and project management skills with a focus on setting strategic goals, executing within time frames, and an impeccable focus on details.
- Strong written, oral, and interpersonal skills and the ability to work effectively with a wide range of constituents.
- Excellent computer skills, including experience with Microsoft Office (especially Excel) and Adobe software applications.
- Ability to work in a team setting.
- Ability to work on one's own with minimal supervision.
- Ability to maintain a high degree of confidentiality and discretion.
- Due to the nature of the program, flexibility to work occasionally on evenings and weekends is expected, along with periodic travel.
Preferred Qualifications
- Master’s degree preferred.
- Marketing and recruiting experience preferred.
- Advising or program management experience.
- Broad knowledge of academic programs, graduate degree requirements, graduation requirements, and student services.
- Experience with Customer Relationship Management (Salesforce CRM) software.
