Summary
The Operation Coordinator manages daily logistics (shipping & receiving), export license applications, and ERP system related activities for logistics support.
Essential Duties and Responsibilities:
- Manage detailed schedule and ERP data entry of products incoming (receiving) and outgoing.
- Costing and cost accrual of inventory using ERP Quantum’s Lot Module.
- Coordinate international and domestic shipments with freight forwarders/couriers with a clear understanding of export compliance requirements.
- Generate commercial invoices and deliver shipment details to customers.
- Handle receiving, shipping, and coordinate with QA team to ensure the OTD towards customers, also between NASAM and test labs
- Data management and input in ERP system (Quantum)
- Support Sales Coordinator for daily weekly forecast open order backlog and conducts analysis reports from ERP to identify
potential issues in executing order on time
- Review of ERP entries and managing timely corrections.
- Coordinate with corporate finance team to ensure vendor invoices are properly entered.
- ERP Quantum application for RMA return to vendor, customer claim, inventory scrapping after testing

Education and/or Experience:
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill and/or ability required.
- Bachelor's Degree (B.A.) in Business Administration, or in related field or equivalent required.
- Five (5) to Ten (10) + years of experience of BtoB Sales or Operation coordination is highly preferred.
- Previous experience in aerospace and defense industry highly preferred
- Previous experiences with shipping and import/export regulations are highly desired.
- Knowledge and recent experience must involve diverse and complex business relationships.
- International business understanding with detailed operation with high traffic.
Required Skills:
- Language: Must have excellent written and verbal skills. Ability to read, analyze, and interpret general business information. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers.
- Reasoning Ability: Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations. Ability to work on complex projects with general direction and minimal guidance.
- Mathematical Skills: Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, & percentages.
- Other Abilities: Must have solid analytical skills and solution-driven thinking and able to use large amounts of data to make strategic decisions. Must possess thorough knowledge of materials planning systems (MRP/ERP) requirements and order generation process logic, preferably with Quantum ERP. Must have knowledge to apply general use of databases/spreadsheets. Ability to complete the planning of workflow and meetings. Maintains effective internal controls to ensure protection of assets and an accurate reporting of financial position. Must have strong organizational, project, and proposal management skills. Experience with AS9120 and ISO9001 Standards.
Physical Demands and Work Environment:
- While performing the duties of this job, the employee must be able to stand 2 to 4 hours a day. Must be able to work with their hands, arms and be extremely accurate. Must be able to walk and sit on a regular basis. The employee may occasionally lift and/or move up to 10 pounds. Must be able to lift and/or move up to 25 pounds on an occasional basis.
