About This Opportunity
We are seeking a highly organised and proactive Executive Assistant to provide administrative and executive support to the Head of School and School Manager. In this role, you will play a key part in ensuring the smooth operation of the Head of School’s office. Responsibilities include liaising with a wide range of internal and external stakeholders, resolving issues efficiently, and supporting the day-to-day administrative functions of the office.
This is an excellent opportunity for someone with strong communication and problem-solving skills who thrives in a dynamic team environment.
Key responsibilities will include:
Ensure the smooth running of the Head of School’s day-to-day work schedule.
Ensure the Head of School is briefed on relevant issues and background information in preparation for meetings.
Oversee the flow of information and administrative processes between the Head of School’s office and other areas.
Coordinate travel arrangements for the Head of School and assist others to create travel accounts.
Manage financial operations such as reimbursements, expense claims, etc. for the Head of School and school office staff.
Coordinate and provide administrative and/or secretarial support to relevant boards and committees.
Maintain office supplies.
Provide administrative and logistical support for school events.
Support visitor and unpaid appointments and coordinate the application process.
Liaise with staff, students, external stakeholders and community members, handling a wide range of inquiries and initiating follow-up actions as required.
Any other duties commensurate with the position as reasonably directed by the Head of School or School Manager.
About You
Completion of a relevant degree and/or substantial administrative and secretarial, executive or personal assistant experience at a large organisation or an equivalent combination of relevant experience and/or education/training.
Require previous administrative, executive support or secretarial experience.
Excellent interpersonal skills, including the ability to communicate effectively and respectfully with diverse groups within, and external to, the School and University.
High level of organisational skills, including the ability to prioritise competing work demands and meet deadlines, while maintaining accuracy and attention to detail.
Ability to work independently, use initiative, and demonstrate problem solving strategies while working in a team environment.
Excellent written communication skills with experience in preparing documents with a high level of accuracy.
