The Executive Administrative Assistant serves as a trusted partner to the President of Cranial & Spinal Technologies (CST) and the Vice President of Operations, providing high-level executive support in a dynamic, global business environment. This role requires exceptional organizational and administrative expertise, sound judgment, and the ability to manage multiple priorities while anticipating executive needs.
The successful candidate will leverage advanced administrative skills, digital technologies, and AI-enabled productivity tools to enhance executive effectiveness and operational efficiency. As a central point of coordination across the organization, this individual will partner with senior leaders, executive assistants, and key stakeholders to drive effective communication, meeting execution, business planning, and operational excellence. The role routinely handles highly confidential information and requires professionalism, discretion, and a commitment to delivering exceptional support.
Primary Responsibilities
Manage complex executive calendars, prioritize competing demands, and coordinate meetings across multiple time zones.
Coordinate domestic and international travel, including detailed itineraries, logistics management, and expense reporting.
Prepare, edit, and format executive communications, presentations, reports, and meeting materials.
Support the planning and execution of leadership meetings, operating reviews, employee communications, business reviews, and organizational events.
Track action items and follow up with stakeholders to ensure commitments and deliverables are completed on schedule.
Partner closely with executive assistants and business leaders across Medtronic to coordinate leadership activities and optimize executive effectiveness.
Manage highly confidential business information with discretion and professionalism.
Support departmental and cross-functional initiatives, programs, and special projects.
Establish and maintain files, records, reports, and documentation in accordance with organizational standards.
Utilize Microsoft 365 and AI-enabled tools to improve productivity, streamline administrative processes, develop executive communications, and enhance business operations.
Identify opportunities to leverage emerging technologies and digital solutions to increase efficiency and effectiveness.
Travel may be required up to 20%.
Required Qualifications
High School Diploma or GED with 6+ years of administrative support experience.
4+ years of experience supporting senior leaders (Director level or above) in a complex corporate environment.
Advanced proficiency in Microsoft 365 applications, including Outlook, Teams, PowerPoint, Word, and Excel.
Experience managing complex executive calendars, travel arrangements, meeting coordination, and expense reporting.
Experience developing executive presentations, reports, communications, and meeting materials.
Experience utilizing AI-enabled productivity tools, including Microsoft Copilot and similar technologies, to improve efficiency, streamline workflows, develop content, and support business operations.
Demonstrated ability to quickly learn, adopt, and leverage new technologies, digital tools, and AI capabilities.
Experience managing confidential and sensitive information with a high degree of accuracy and discretion.
Experience coordinating multiple priorities, projects, stakeholders, and deliverables simultaneously.
Preferred Qualifications
Associate's or Bachelor's degree.
Experience supporting Vice President-level leaders or above.
Experience supporting multiple executives simultaneously.
Advanced PowerPoint capabilities, including creation of executive-level presentations and leadership communications.
Experience coordinating executive leadership meetings, town halls, off-site meetings, and large-scale business events.
Experience supporting cross-functional projects and organizational initiatives.
Experience working within a global organization and coordinating activities across multiple geographies and time zones.
Experience in the medical device, healthcare, life sciences, or other highly regulated industries.
For Baccalaureate degrees earned outside of the United States, a degree that satisfies the requirements of 8 C.F.R. § 214.2(h)(4)(iii)(A) is required.

This position is eligible for a short-term incentive called the Medtronic Incentive Plan (MIP).The base salary range is applicable across the United States, excluding Puerto Rico and specific locations in California.
