Position Overview:
The Administrative Assistant (Part-Time) provides administrative, operational, and marketing support to the Branch Manager to ensure the efficient day-to-day operation of the branch. This role serves as a key point of coordination for students, parents, and community stakeholders, supporting coaching activities, event planning, communications, social media management, and customer engagement. The Administrative Assistant helps promote branch programs, organize events, maintain accurate records, and deliver a positive experience for all participants while contributing to the achievement of branch goals and objectives.
Job Responsibilities:
- Provide administrative support to the Branch Manager, including assistance with coaching and student engagement activities.
- Coordinate communication with students, parents, and other stakeholders to support branch operations and programs.
- Schedule and organize meetings, prepare agendas, and distribute meeting materials.
- Prepare, print, and organize homework packets, instructional materials, and other branch documents.
- Package and mail correspondence, educational materials, and promotional items as needed.
- Manage and maintain social media platforms to promote programs, events, and branch activities.
- Organize and maintain contact lists, databases, and other records to ensure accurate and accessible information.
- Coordinate branch events, including planning, marketing, registration, setup, and breakdown activities.
- Support event marketing efforts through outreach and solicitation using tools such as Constant Contact and Punchbowl.
- Compile and distribute the monthly newsletter to communicate branch updates, events, and achievements.
- Monitor and manage administrative processes to ensure efficient daily operations and positive customer experiences.
- Perform other administrative and operational duties as assigned to support branch goals and objectives.
Qualifications and Skills:
- High School Diploma, GED, or equivalent.
- Bachelor’s or Associate Degree, preferred.
- Office experience as an administrative assistant or receptionist, preferred.
- Knowledge of social media marketing, preferred.
- Knowledge of email marketing platforms such as Constant Contact and Punchbowl.
- Excellent written and verbal communication skills.
- Skilled in managing multiple tasks and applying effective time‑management practices to prioritize and meet deadlines.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook)
