Job Summary
We are seeking an experienced Administrative Assistant III to provide high-level administrative and office support to the Operations Communications team.
The ideal candidate will have 5+ years of administrative experience, strong calendar and meeting-management skills, excellent written and verbal communication abilities, and advanced proficiency with Microsoft Office. Southern Company system experience and previous experience supporting a corporate communications team are strongly preferred.
Key Responsibilities
- Provide expert-level administrative support to managers, managing directors, partners, and other professionals.
- Manage calendars, schedules, appointments, and competing priorities.
- Coordinate meetings, conferences, and events, including:
- Scheduling and logistics
- Agenda preparation
- Meeting materials
- Follow-up actions
- Make travel arrangements and coordinate related logistics.
- Prepare, edit, review, and proofread:
- Reports
- Presentations
- Correspondence
- Emails
- Other business documents
- Conduct research, gather and analyze information, and prepare reports to support planning and decision-making.
- Track departmental projects, deadlines, activities, and administrative deliverables.
- Manage expense tracking and reporting in accordance with company policies.
- Serve as a key point of contact for internal and external stakeholders.
- Handle confidential and sensitive information with professionalism and discretion.
- Answer and route telephone calls and assist visitors.
- Perform general administrative duties including filing, scanning, copying, and coordinating meal orders.
- Maintain organized records and support daily office operations.
- Prioritize workload and meet deadlines in a fast-paced and rapidly changing environment.
Required Qualifications
- 5–10 years of administrative or office support experience.
- Strong calendar and schedule management experience.
- Experience supporting multiple professionals and senior-level stakeholders.
- Advanced proficiency in:
- Microsoft Word
- Microsoft Excel
- Microsoft PowerPoint
- Microsoft Outlook
- Experience using spreadsheets, databases, presentation software, and other business applications.
- Strong document preparation, proofreading, and editing skills.
- Excellent written and verbal communication skills.
- Strong organizational and time-management abilities.
- Ability to manage multiple priorities and meet deadlines.
- Strong attention to detail.
- Professional discretion when handling sensitive or confidential information.
- Proactive problem-solving and sound decision-making skills.
Preferred Qualifications
- Previous Southern Company system experience.
- Experience supporting a corporate communications or operations communications team.
- Experience coordinating high-profile meetings, conferences, and corporate events.
- Experience tracking departmental projects, activities, and deadlines.
