Job Description:
This Coordinator position will provide administrative support to faculty and staff in the Department of Oceanography & Coastal Sciences. This position will be responsible for creating travel and expense reports, maintaining supplies, assisting with functions and events in the college and other related duties. Most importantly, this position is expected to provide excellent customer service to faculty, staff, students and visitors to the department by assisting with assigned duties and related issues that arise.
Job Responsibilities:
40% Manage the travel function for the Department of Oceanography & Coastal Sciences to include processing and tracking approvals and reimbursements, providing assistance and training for staff and students on guidelines and procedures, and assisting visitors to the department with accommodations and reimbursements. Also, provide assistance for class field trips, including all required university approvals, reservations, etc.
30% Provide administrative support for faculty, research staff and students by assisting with LaCarte purchases when needed and reconciling charges. Coordinator will monitor charges for the department to ensure expense reports are processed timely and work with employees to resolve issues that arise.
10% Orders/maintains departmental office supplies, manages the mail room and copier, providing assistance when needed.
10% Assist with functions for the college and academic programs, such as orientation, receptions, student events, commencement, etc.
5% Serve as backup in the absence of other coordinators in the department as well as within the College.
5% Other duties as needed
Minimum Qualifications:
Bachelor's Degree with administrative experience.
