The American Express Global Business Travel Meetings & Events team is dedicated to creating exceptional pharmaceutical congresses and meetings that drive meaningful outcomes for our global clients. We work at the intersection of strategy, logistics, and relationship management—partnering closely with pharmaceutical companies to design and execute sophisticated, high-impact events. What You'll Do on a Typical Day
- Serve as the primary client liaison for pharmaceutical meetings and congresses, managing all aspects from contract execution through final billing
- Establish project timelines and coordinate with clients and suppliers to ensure accurate handling of all program details
- Negotiate and manage hotel, congress, DMC, air travel, and third-party contracts while monitoring attrition and cancellation policies
- Conduct site inspections, produce detailed program itineraries, and coordinate all program logistics and materials
- Manage overall program budgets, forecast financials, and audit billing for accuracy while communicating budget updates to clients
- Lead cross-functional teams and maintain proactive communication with stakeholders through regular status meetings
- Handle multiple projects simultaneously while maintaining accuracy, meeting deadlines, and exceeding client objectives
- Evaluate program impact, conduct debriefs, and identify opportunities for continuous improvement
- Manage VIP logistics and special projects as requested by leadership
What We're Looking For:
- REQUIRED: 3-5 years of meeting planning experience with at least 2 years supporting pharmaceutical meetings/congresses with 100+ HCP delegates
- REQUIRED: Demonstrated experience with major pharmaceutical congresses (ASCO, ESMO, or similar)
- Advanced proficiency in Microsoft Word and Excel with experience in meeting industry technology (CVENT preferred)
- Advanced oral and written presentation skills with ability to communicate effectively at all management levels
- Proven ability to work accurately, meet tight deadlines, manage multiple projects, and handle change with flexibility
- Strong analytical and problem-solving skills with demonstrated technology aptitude
- 4-year degree and/or CMP (Certified Meeting Professional) designation preferred
- Willingness and ability to travel up to 40% by airplane, boat, rail, and/or car if requested
