Location: Shah Alam / Malaysia

Contract: Permanent

Office/Hybrid: 40 hours per week (full-time), Monday to Friday, 8.00am to 5.00pm.

Salary/annum: 32,300.00– 48,460.00 MYR Annual

Description of role:

The role is responsible for managing the end-to-end administration and coordination of candidate enrolment, training courses, examinations, and certification activities.

The position serves as the primary point of contact for candidates, training partners, agents, trainers, and invigilators, ensuring accurate registration, eligibility verification, scheduling, examination arrangements, results notification, and certificate issuance.

 The role also maintains accurate and confidential candidate records, attendance, results, certificates, and administrative reports, while supporting audits and regulatory reviews by preparing the necessary documentation and evidence.

The successful candidate will ensure a smooth and professional candidate experience while maintaining compliance with relevant training, examination, certification, and administrative requirements.

Key responsibilities include:

  • Serve as the primary point of contact for candidate queries related to scheduling, enrolment, and certification requirements.
  • Manage candidate registrations, enrolments, and exam bookings through the administration platform.
  • Verify eligibility and documentation for all candidates prior to attending the course and or examination.
  • Ensure course/exam schedules, venue details, and joining instructions are communicated clearly to candidates and relevant departments.
  • Coordinating with approved agents or training partners to process candidate bookings and ensure complete and accurate enrolment data.
  • Maintain accurate candidate records, including attendance and results.
  • Maintain confidentiality and secure handling of exam content and candidate data.
  • Liaise with invigilators and trainers to coordinate course and examination logistics and ensure readiness.
  • Maintain records of issued certificates, results, and administration reports.
  • Generate reports for internal and external audits (e.g., attendance reports, training activities report etc.;).
  • Notify candidates of exam results and manage certificate issuance as well as delivery in a timely manner.
  • Assist during audits and regulatory reviews by preparing documentation and supporting evidence.
  • Perform other duties as and when required by the Management.

Requirements

  • Minimum Diploma holder or equivalent in Business Administration or a related field.
  • Minimum 3 years’ working experience in a similar role
  • MSOffice Software
  • Good communication skills in Bahasa Malaysia and English (Written & Spoken).
  • Possess excellent interpersonal skills, maturity and flexibility, able to work in a team and independently with minimum supervision.
