Organization's Summary Statement:
The Department of Veterinary Medicine at the University of Maryland, College Park serves as the Maryland campus of the Virginia–Maryland College of Veterinary Medicine (VMCVM), a unique partnership between the University of Maryland and Virginia Tech. Located in the Avrum Gudelsky Veterinary Center, the department advances animal, human, and environmental health through graduate education, biomedical research, and public health initiatives.

The department's research enterprise is nationally recognized for its work in infectious diseases, virology, immunology, bacteriology, epidemiology, parasitology, vaccinology, and One Health initiatives. Its strategic location within the Baltimore–Washington research corridor facilitates extensive collaborations with organizations including the National Institutes of Health (NIH), the U.S. Department of Agriculture (USDA), the U.S. Food and Drug Administration (FDA), and other federal and academic research institutions.

The department's mission is to generate and disseminate scientific knowledge that improves animal and human health while educating the next generation of scientists and veterinary professionals. Through interdisciplinary collaboration and translational research, the College Park campus plays a critical role in advancing the Virginia–Maryland College of Veterinary Medicine's commitment to education, research, and public service.

Position:
Coordinates various programs or projects for assigned departments or units. May serve as a subject matter expert in a particular area, program or project.

EXAMPLES OF WORK:

Works under moderate supervision.
Problems are typical of a routine nature but may, at times, require interpretation or deviation from standard procedures.
Communicates information that requires some explanation or interpretation.

Physical Demands:
The position involves a good deal of sitting at a computer for extended periods of time throughout the day. On days of special events in the department, there are extensive physical demands for setting up tables, chairs and arranging food and beverages, though lifting requirements not exceeding 20 pounds.

Minimum Qualifications

Education: Bachelor’s degree from an accredited college or university.

Experience: One (1) year of professional administrative or coordinator experience.

Other: Additional work experience as defined above may be substituted on a year for year basis for up to four (4) years of the required education.

Knowledge of best practices in organization, administration, and customer service.

Knowledge of proper protocol in dealing with confidential information.

Skill in oral and written communication.

Skill in the use of Microsoft Office and Google Workspace (Docs, Sheets, Slides, Forms, etc.)

Additional Job Responsibilities:

Responsibilities:

  • Independently manage a broad range of administrative, operational, and academic functions on behalf of the Associate Dean/Department Chair (AD/DC), including strategic calendar management, meeting coordination, travel administration, and serving as the primary liaison with the College of Agriculture and Natural Resources (AGNR), the Institute for Bioscience and Biotechnology Research (UMCP), the Virginia-Maryland Regional College of Veterinary Medicine, and other university offices. Exercise sound judgment and maintain strict confidentiality in handling sensitive personnel, academic, and institutional matters. 

  • Develop, edit, and manage departmental communications, including website content, newsletters, social media, reports, correspondence, promotional materials, grant proposal support, and event communications. Lead the planning, coordination, and execution of departmental programs and special events, including Open House, seminars, workshops, and other strategic initiatives. 

  • Coordinate graduate academic operations in collaboration with the Graduate Program Director , Director of Administrative Services and the University Graduate School. Manage graduate course scheduling, ensure the accuracy of course offerings and descriptions within Testudo and the Student Information System (SIS), and maintain related departmental web content. 

  • Administer the full faculty Appointment, Promotion, and Tenure (APT) process by interpreting university policies, monitoring deadlines, coordinating dossier preparation and submission, and serving as the departmental resource on APT procedures. Coordinate faculty recruitment activities, including search logistics, candidate communications, interview scheduling, travel arrangements, and campus visit itineraries. 

  • Serve as a key departmental resource by providing guidance and administrative support to faculty, director of administrative services, staff, students, and external partners to ensure efficient departmental operations and compliance with university policies and procedures. 

  • Collaborate with the Director of Administrative Services to develop and implement administrative processes, operational improvements, and departmental initiatives. 

  • Manage the preparation and submission of Veterinary Medicine course schedules and related academic documentation to ensure compliance with university deadlines and curriculum requirements. 

  • Coordinate the One Health Seminar Series by managing speaker logistics, scheduling, communications, promotional materials, and event support. 

  • Oversee departmental business travel administration by coordinating travel authorizations, expense reimbursements, and compliance with university travel policies using Concur and Workday. 

  • Administer departmental scheduling for conference rooms, classrooms, seminar spaces, and shared resources, resolving scheduling conflicts and ensuring effective space utilization. 

  • Design and produce professional marketing and informational materials for seminars, dissertation defenses, departmental programs, and special events. 

  • Coordinate onboarding activities for faculty, staff, students, visiting scholars, and guests, facilitating access to university systems and departmental resources. 

  • Coordinate logistical support for departmental meetings, seminars, and events, including vendor communications, catering arrangements, and event preparation. 

  • Manage departmental procurement card (P-Card) and travel card (T-Card) reconciliations, reviewing transactions for accuracy, ensuring compliance with university financial policies, and maintaining appropriate documentation in Workday and Concur. 

  • Prepare, review, and process invoices, receipts, and financial documentation within Workday to facilitate timely payments and accurate financial recordkeeping. 

  • Record, prepare, and distribute official meeting minutes for departmental faculty and staff meetings, ensuring accurate documentation of actions and decisions. 

  • Maintain departmental electronic records and document management systems, including oversight of file organization and uploads within the Box Management System to ensure accessibility and compliance with records management practices. 

  • Support departmental operations through management of correspondence, visitor access, mail distribution, and other administrative services that contribute to the effective functioning of the department. 

  • Participate in professional development and university training to remain current on institutional policies, administrative systems, and best practices. 

  • Perform additional administrative, operational, and project-based responsibilities as assigned in support of departmental and college priorities.
