Operations & Traffic Manager

ARQQA is looking for an organized and proactive Operations & Traffic Manager to coordinate workflows, manage task allocation, monitor deadlines, and improve collaboration across teams. This role is responsible for maintaining visibility over ongoing projects, ensuring resources are used effectively, and helping teams deliver quality work on time.

Key Responsibilities

• Oversee day-to-day workflow coordination across departments, including Account Management, Content, Creative, Media Buying, and other relevant teams.
• Manage task allocation and workload distribution based on priorities, team capacity, deadlines, and project requirements.
• Maintain clear project timelines, task dependencies, and delivery schedules across the agency.
• Manage and maintain task management systems, including ClickUp, ensuring tasks have clear owners, deadlines, priorities, and status updates.
• Monitor project progress and follow up with task owners to ensure deadlines and deliverables are met.
• Identify workflow bottlenecks, resource conflicts, delays, and operational risks, and take appropriate action to resolve them.
• Coordinate with Team Leaders to prioritize urgent requests and balance workloads across teams.
• Ensure teams communicate changes in timelines, blockers, and delivery risks promptly.
• Track task completion, turnaround times, overdue tasks, and workflow efficiency through regular reporting.
• Establish and improve standard operating procedures, approval processes, and internal workflow guidelines.
• Support capacity planning and resource allocation across ongoing client accounts and internal projects.
• Ensure project handovers and cross-department coordination are clear and efficient.
• Escalate recurring delays, unresolved blockers, and operational issues to management.
• Work with leadership to improve productivity, accountability, and consistency in project delivery.
• Recommend process improvements that reduce unnecessary delays and improve overall operational efficiency.

Requirements

• 3+ years of experience in operations, project coordination, traffic management, or workflow management.
• Previous experience in a digital marketing or advertising agency is highly preferred.
• Strong understanding of agency workflows, creative production processes, and client delivery requirements.
• Practical experience using project management tools such as ClickUp, Asana, Monday.com, or similar platforms.
• Strong organizational, prioritization, and problem-solving skills.
• Ability to coordinate multiple teams, projects, and deadlines simultaneously.
• Strong communication and follow-up skills, with the confidence to address delays and accountability gaps.
• Ability to identify operational risks and implement practical solutions.
• Experience with workflow reporting, capacity planning, and process documentation.
• Strong attention to detail and a proactive approach to operational challenges.
• Ability to work effectively with Team Leaders and management while maintaining clear processes and expectations.
