We are looking for a confident Hospital Administrator with a passion for delivering outstanding service.
You’ll be working 40 hours a week (Monday to Friday), making a positive difference to the lives of the people in our care at Cygnet Pindar House.
Cygnet Pindar House is our 22 bed Neuropsychiatric care and treatment service for men affected by acquired brain injuries. It is a safe and secure place to aid recovery as well as offering those diagnosed with a progressive neurological disease like Huntington’s Disease, a caring and longer term placement to support and help manage the progression of their symptoms.
The service is a modern purpose-built facility, designed specifically to provide a clinically-led evidence-based neuropsychiatric pathway for individuals presenting with behaviours that challenge. Our focus is to create a therapeutic rich environment to engage the men in our care and offer them the opportunity to maximise their independence.
Our in-house Neuropsychiatry interdisciplinary team are able to support those with complex physical health needs and we have bedrooms located on the ground floor for men with mobility impairments.
Our person-centred approach puts the individual at the centre of their care and discharge planning. The service offers a wide range of activities and facilities to promote independent function. Positive behaviour goals are focused on discharge planning to support service users to return to community living – either with support or independently.
Main Purpose of the Role. To provide high-level administrative, reporting, and tracking support to the hospital management and finance teams. The post holder ensures the site meets strict training and performance compliance frameworks.
Administration Contractual KPI Tracking: Monitor and maintain records for site-specific compliance requirements stipulated within ICB and NHS commissioner service level agreements (SLAs).
Clinical Governance Meeting Support: Coordinate logistics, compile briefing packs, and record
Mandatory Training Compliance & Matrix Management Commissioning Training Audits: Track, update, and manage the staff training matrix to ensure 100% compliance with Cygnet core requirements
Operational Finance Support & Billing Admin Accounts Receivable Liaison: Ensure accurate bed-occupancy data, funding configurations, and split-funding arrangements (between ICBs and Local Authorities) are correctly documented for the centralised Accounts Receivable function.
Manage Patient Accounts: Administer personal spending funds (Patient Monies) for long-stay, residential, or vulnerable patients, ensuring precise tracking of all deposits and withdrawals and complete regular audits
Data Management, Reports & Audits Information Governance: Maintain immaculate electronic and physical records in strict compliance with the Data Security and Protection and ICB publishing guidelines .Dashboard Compilation: Collate complex operational data to build comprehensive weekly performance reports, highlighting training drop-offs, billing variances, or overdue HR actions.
Manage Staffing Wages: Oversee and execute the end-to-end processing of wages for permanent, temporary, and agency staff. Timesheet Reconciliation: Review, verify, and approve digital and physical timesheets, actively resolving discrepancies or missing sign-offs with the management team. : Maintain strict adherence to working time directives and Cygnets policies, healthcare overtime regulations, Audit & Data Integrity: Conduct routine audits of timekeeping records and payroll databases to eliminate errors, prevent compliance issues and ensure accurate financial reporting.
Your day-to-day...
• Ensure HR systems are regularly maintained & updated
• Work with the HR teams & provide administrative support
• Ensure all HR records & systems are accurate & comply with the Data Protection Act
• Maintain employee personnel files & ensure they are fully compliant with CQC guidelines
• Proactively develop & implement robust systems across Cygnet
• Assist in the maintenance of employee data on Cygnet’s HR information system.
