Position Summary
The Team Member Development Program Coordinator supports the successful execution of Life Time's talent, leadership, and career development programs. This role drives operational excellence across programs and projects by managing communications, logistics, reporting, documentation, and stakeholder coordination. Working across Human Capital, Education, and business functions, the Program Coordinator ensures a seamless experience for participants and leaders while supporting the efficient delivery of development initiatives. The role contributes to the scalability and effectiveness of the Team Member Development function through strong project coordination, continuous improvement, and exceptional customer service.
Job Duties and Responsibilities
Program Operations & Delivery Management
- Manage program setup, registration, scheduling, participant communications, and launch activities.
- Coordinate logistics for virtual and in-person development experiences, meetings, and events.
- Maintain program calendars, project plans, milestone tracking, and deployment schedules.
- Monitor execution progress and proactively escalate risks, delays, or resource constraints.
- Support implementation of leadership, career development, succession, and recognition initiatives.
Stakeholder Communication & Experience Coordination
- Develop and distribute program communications, promotional materials, updates, and reminders.
- Serve as a primary point of contact for participant and stakeholder inquiries.
- Coordinate leader nominations, enrollment processes, and participant onboarding activities.
- Ensure stakeholders receive timely, accurate information regarding program expectations and milestones.
- Support change management and adoption efforts for development initiatives.
Program Support, Reporting & Documentation
- Track participation, completion, engagement, and other program metrics.
- Prepare dashboards, reports, presentations, and project updates.
- Maintain program documentation, standard operating procedures, and resource libraries.
- Coordinate evaluation collection and summarize participant feedback.
- Support talent review, succession, and development planning processes through administrative preparation and documentation.
Cross-Functional Program Coordination
- Coordinate meetings, agendas, action items, and follow-up activities for strategic projects.
- Monitor program timelines and deliverables across multiple stakeholders.
- Support vendor, facilitator, and partner coordination.
- Ensure dependencies between programs, projects, and business priorities are effectively managed.
- Facilitate information flow between project teams and stakeholders.
Budgeting Systems Management
- Maintain invoices, expense tracking, purchase requests, and budget documentation.
- Support learning technology administration, reporting, and system maintenance.
- Identify process improvement opportunities and recommend operational enhancements.
- Document and standardize processes to improve efficiency, consistency, and scalability.
- Assist with implementation of new tools, systems, and workflows.
Position Requirements
- 2-year college degree in a related field
- 2 years of administrative support experience
- 2 years of project management/program administration
- Communicates clearly and professionally with team members, leaders, and business partners.
- Effectively manages multiple projects, deadlines, schedules, and competing priorities.
- Understands how programs, processes, and decisions impact the broader team member experience.
- Identifies inefficiencies, bottlenecks, and opportunities to improve consistency and scalability.
- Analyzes issues, recommends solutions, and follows through to resolution.
- Adapts quickly to changing priorities, systems, tools, and business needs.
- Builds relationships, gains alignment, and drives action through collaboration and credibility.
- Collects, organizes, and uses data to support decisions, reporting, and program effectiveness.
- Proficient in Microsoft Office Suite (Excel, PowerPoint, Outlook, Teams) and able to learn new technology platforms quickly.
- Delivers exceptional service, exercises sound judgment, and handles confidential information with integrity.
Pay
This is an hourly position with wages starting at $28.00 and pays up to $38.50, based on experience and qualifications.Benefits
