Elica Health Centers is seeking a detail-oriented Human Resources Assistant to support employee onboarding and key HR compliance processes. This position is well suited for someone who enjoys organized, process-driven work, maintains accurate records, and follows assignments through completion.
WHAT YOU'LL DO:
Employee Onboarding and Records
- Coordinate assigned pre-employment and onboarding requirements for employees and contractors.
- Prepare documentation and employee records for weekly New Employee Orientation.
- Create and review new-hire files for completeness and accuracy.
- Monitor Form I-9 completion, documentation, reverification, and follow-up.
- Process employee demographic changes and update applicable HR systems and records.
- Communicate onboarding status and escalate issues that may affect an anticipated start date.
Immunization Compliance
- Execute employee immunization, TB screening, fitness-for-duty, and related health-compliance processes.
- Review and record documentation, monitor compliance status, and communicate outstanding requirements.
- Follow assigned compliance items through completion and escalate complex or nonstandard matters.
- Complete periodic and annual immunization compliance projects.
Credentialing and HR Support
- Execute assigned employee credentialing and recredentialing processes.
- Collect, verify, track, and maintain required credentials and supporting documentation.
- Assist with audits, reports, HR projects, and routine employee inquiries.
- Help develop and update standard work procedures for assigned responsibilities.
- Maintain current knowledge of requirements and procedures applicable to assigned areas.

Compensation Disclosure: $25.00 - $29.00 an hour
The compensation range listed reflects Elica’s good-faith estimate of the anticipated hiring range for this position in accordance with California pay transparency requirements. Final compensation will be determined based on job-related factors, including relevant experience, education, certifications, skills, and qualification.
Requirements
WHAT WE ARE LOOKING FOR:
- High school diploma or equivalent required.
- At least one year of administrative or records-management experience, preferably in Human Resources.
- Associate degree or coursework in Human Resources, Business Administration, Healthcare Administration, or a related field preferred.
- Experience in a healthcare or compliance-focused environment preferred.
- Experience using an HRIS or electronic records system preferred.
- Knowledge of onboarding, Form I-9, credentialing, healthcare certifications, or employee immunization compliance preferred.
- High level of computer literacy and the ability to work efficiently across multiple systems.
- Intermediate proficiency with Google Docs and Google Sheets.
- Working knowledge of DocuSign preferred.
- Strong attention to detail, organization, follow-through, and time-management skills.
- Ability to maintain confidential employee, medical, and organizational information.
- Effective written communication and customer-service skills.
Schedule and Travel
This is a non-exempt position that typically works Monday through Friday, 40 hours per week. Overtime may be required based on operational needs. Travel to other Elica worksite locations may occasionally be required and is expected to account for less than 10% of total work time.
Additional Requirements:
- Must have a current and valid California driver’s license and the ability to provide proof of personal auto insurance on the vehicle driven during working hours.
- If selected for an employment opportunity with Elica Health Centers, external hires must provide proof of immunizations (Hepatitis B, MMR, Varicella & Tetanus), tuberculosis clearance, and proof of COVID-19 vaccination status* prior to their scheduled start date. Physical Requirements and Work Environment:
The work environment is characteristic of normal office conditions. The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is frequently required to sit; use hands to handle or lift. The employee is occasionally required to stand; walk; and reach with hands and arms. The employee must occasionally lift and/or move up to 20 pounds. Specific vision abilities required by this job include close vision, distance vision and ability to adjust focus. The employee must also possess hearing and speech to communicate in person and over the phone. The noise level in the work environment is usually quiet.
The employee may be required to run agency related errands and attend off-site meetings; the employee must be able to operate, maneuver and/or control a motor vehicle. In performing the driving responsibilities, the driver may sit for long periods. This requires intense concentration, particularly in poor driving conditions.
