Primary Function/General Purpose of Position
The Epic Template Specialist is responsible for the design, build, maintenance, optimization, and governance of provider and resource scheduling templates within Epic Cadence. This role partners with physician practices, service line leaders, Patient Access, and Information Technology to ensure scheduling templates support patient access, provider productivity, operational efficiency, and organizational access standards.
Essential Job Functions
Designs, builds, maintains, and optimizes provider and resource scheduling templates within Epic Cadence to support patient access, operational efficiency, and enterprise scheduling standards.
Partners with clinical, operational, and physician leadership to develop scheduling templates that balance patient demand, provider preferences, and organizational access goals.
Reviews, analyzes, and fulfills template requests while ensuring compliance with established governance, policies, and scheduling best practices.
Monitors scheduling performance metrics, including provider utilization, appointment availability, template utilization, and Third Next Available, and recommends improvements to enhance patient access.
Conducts regular audits of scheduling templates to ensure accuracy, consistency, and adherence to enterprise standards, identifying and resolving discrepancies as needed.
Collaborates with Information Technology, Epic analysts, and operational stakeholders to support system upgrades, testing, new functionality, and issue resolution related to scheduling templates.
Maintains comprehensive documentation of template builds, revisions, governance decisions, and standard operating procedures to support consistency and regulatory compliance.
Provides consultation, education, and subject matter expertise to leaders, providers, and scheduling teams regarding Epic scheduling functionality, template design, and access optimization.
Participates in enterprise patient access initiatives, process improvement efforts, and scheduling optimization projects to improve patient experience, provider productivity, and operational performance.

Epic Cadence Certification, Accreditation, or Proficiency.
Epic Prelude Certification, Accreditation, or Proficiency.
Education
Bachelor’s degree or
Four (4) years of directly related experience in patient access, provider scheduling, Epic Cadence, or healthcare operations in lieu of a bachelor’s degree.
Work Experience
Three (3) years of experience in patient access, provider scheduling, ambulatory operations, healthcare operations, or a related healthcare environment. (Required)
One (1) year of experience building, maintaining, or optimizing provider scheduling templates within Epic Cadence or a comparable electronic scheduling system. (Required)
Experience collaborating with physicians, clinic leadership, and operational stakeholders to implement scheduling changes. (Required)
Experience analyzing scheduling workflows, identifying operational opportunities, and implementing process improvements. (Required)
Three (3) years of experience working with Epic Cadence scheduling templates. (Preferred)
Experience supporting enterprise or multi-specialty ambulatory scheduling operations. (Preferred)
Experience with provider capacity planning, access optimization, and scheduling governance. (Preferred)
Experience using scheduling and access metrics (e.g., Third Next Available, template utilization, provider productivity, no-show rates) to drive operational improvements. (Preferred)
Experience participating in Epic upgrades, testing, and system optimization initiatives. (Preferred)
Experience leading cross-functional projects or process improvement initiatives. (Preferred)
