We are seeking a highly organized, dependable, and proactive Part-Time Executive Administrative Assistant to provide administrative and project support to the Chief Executive Officer and executive leadership team.
Position Summary
The Executive Administrative Assistant helps executive leadership remain organized, informed, and focused on the company’s highest priorities. This position manages schedules, communications, documents, meetings, follow-up items, and special projects requiring accuracy, discretion, and dependable execution.
The ideal candidate anticipates needs, protects confidential information, communicates professionally, and knows how to bring order to competing priorities without needing constant direction.
Essential Duties and Responsibilities
- Manage executive calendars, appointments, meetings, reminders, and scheduling priorities.
- Coordinate internal and external meetings, including invitations, agendas, materials, conference links, and follow-up items.
- Monitor and organize executive communications, correspondence, and requests requiring attention.
- Draft, proofread, edit, and format emails, letters, reports, presentations, meeting materials, and other business documents.
- Prepare meeting agendas, take notes when requested, and maintain action-item and follow-up trackers.
- Maintain organized electronic files, executive records, corporate documents, and confidential information.
- Assist with employee onboarding and offboarding documents, personnel-file organization, and administrative HR coordination.
- Coordinate travel arrangements, reservations, itineraries, events, and executive appointments when required.
- Assist with expense reports, invoices, purchase documentation, receipts, and other basic administrative tracking.
- Communicate with employees, property teams, clients, ownership representatives, vendors, and business partners on behalf of executive leadership.
- Track deadlines, commitments, approvals, and special projects to ensure items do not fall through the cracks.
- Help organize information across Outlook, Microsoft 365, Box, company systems, and approved communication platforms.
- Support office administration, document preparation, data entry, research, and other assigned business needs.
- Handle sensitive employee, financial, owner, resident, vendor, and company information with strict confidentiality.
- Perform additional administrative duties and special projects assigned by executive leadership.
Required Qualifications
- High school diploma or equivalent.
- Prior administrative, executive-assistant, office-management, or senior support experience.
- Strong proficiency with Microsoft Outlook, Word, Excel, PowerPoint, Teams, and electronic file-management systems.
- Excellent written communication, proofreading, grammar, and professional correspondence skills.
- Exceptional organization, attention to detail, time management, and follow-through.
- Ability to manage multiple priorities and changing deadlines without losing accuracy.
- Sound judgment and the ability to handle confidential or sensitive information appropriately.
- Ability to work independently, identify what needs to be done, and complete assignments with limited supervision.
- Professional, dependable, responsive, and comfortable communicating with executives and external business partners.
Preferred Qualifications
- Three or more years of executive or senior administrative support experience.
- Experience supporting a CEO, company owner, or senior leadership team.
- Experience in multifamily housing, property management, real estate, construction, or a related industry.
- Experience with Box, Adobe Acrobat, property-management software, workflow systems, or project-tracking platforms.
- Associate or bachelor’s degree in business administration, communications, or a related field.

Work Environment
This position primarily works in a professional office or approved remote or hybrid setting. The employee must be able to communicate effectively by phone, email, video conference, and in person; use a computer for extended periods; and occasionally move ordinary office files, packages, or supplies.
