We are looking for an experienced Accounts Receivable Clerk who will assist the Accounting Manager with all in-house group and wholesale billing in order to maintain the hotel's receivable account.
Duties and responsibilities will include but not limited to the following:
• Bill Accounts Receivable invoices and follows up with collection calls
• Responsible for verifying all groups rooming lists with the assistance of the Rooms Controller
• Responsible for the maintenance of all in-house accounts for groups, functions etc.
• Responsible for all functions related to the Group folder. This includes set-up, sales contract, signed BEO forms, banquet checks, all charges, rooming lists, advanced deposits, and ultimately invoicing the client
• Responsible for all account invoicing according to Hotel’s standards and guests needs
• Work to ensure all house accounts are checked out within 3 working days of Group’s departure
• Attend the Monthly A/R Credit Meeting and have reports of all account activity, accurate and current for the meeting’s review
• Assist with preparing Wholesaler billing
• Prepare an Accounts Receivable ageing report at the end of each month and also the day before the credit meeting for review
• File copies of check stubs and check logs for A/R payments
• Answer Accounts Receivables inquiries from guests and groups
• Research customer claims of invoice payments
• Follow up with group collection activity on any account over 30 days due
• Other duties may be assigned as business need demands.
What are we looking for?
Minimum 3-4 years of Night Audit experience in Hotels required.
• Additional 1-2 years of Hospitality Accounts Receivable Clerk experience will be a mandatory requirement.
• Associate or Bachelor’s degree in Accounting required.
• Strong knowledge in Opera/PMS required
• Strong knowledge in Opera/PMS required
• Must speak, read, write, and understand the English language
• Strong Mathematical skills required. Must be able to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, etc.
• Must be able to handle large volume and variety of requests while maintaining attention to detail, plus good judgement in making decisions
• Will be required to occasionally be required to lift and/or move items 25-35 pounds
• Must be able to work well under pressure, remain calm and can resolve problems
• Must be able to work flexible schedule including late evenings, weekends and public holidays
Pay rate: $10.00-$12.00 hourly
