Office Manager

Description

We're looking for an Office Manager to help keeping our office and kitchen running smoothly. This is a great fit for someone who thrives on staying organized, anticipating needs, and balancing high-level executive support with day-to-day office operations. 

Hours are half days on Monday and Friday 10:00 to 2:00, and 9:00 to 4:00 Tuesday through Thursday, with flexibility. 

This role reports to the SVP of Global HR and is responsible for the following: 

Executive assistant support 

• Manage executives' calendars, scheduling meetings and resolving conflicts 
• Coordinate domestic and international travel, including flights, hotel rooms, and detailed itineraries for executives 
• Serve as a point of contact between executives and internal and external stakeholders 
• Handle sensitive and confidential information with discretion 
• Partner with managers to coordinate schedules 

Office & facilities 

• Order office and kitchen supplies 
• Keep the kitchen clean and stocked with snacks and beverages 
• Help plan and order lunch for meetings 
• Assist HR with recruiting and other projects as needed 
• Other duties as assigned 

Requirements

• Strong organizational and time-management skills, with the ability to juggle multiple priorities
• Excellent communication skills
• Proficiency with Microsoft Office and/or comfortable learning 
• Experience booking travel and managing calendars
• High level of discretion and professionalism when handling confidential information
• Self-starter who can work independently and anticipate needs
• Reliable and punctual, with a flexible approach to shifting priorities
