The role:

As our Systems Optimization & Automation Lead, you will be responsible for designing, maintaining, and continuously improving the systems that power our organization. You will serve as the architect behind our internal infrastructure, ensuring our databases, automations, AI tools, and workflows operate efficiently, reliably, and at scale.

Your typical day would include:

1. Airtable Database Management & Optimization

Maintain and manage existing Airtable bases, ensuring data integrity, consistency, and usability across the organization. Conduct regular audits, cleanup efforts, and system improvements to optimize performance and organization. Continuously improve table structures, relationships, views, permissions, and data architecture to support business needs.

2. Interface & Workflow Development

Design and build custom Airtable interfaces that support team workflows and operational objectives. Create intuitive user experiences for stakeholders across departments while developing scalable systems capable of supporting continued organizational growth.

3. Automation & Integration

Build, maintain, and optimize automations within Airtable and connected platforms such as Make and Zapier. Develop integrations with third-party applications using APIs and webhooks, ensuring reliable data flow and system functionality. Troubleshoot and improve existing automations to maximize efficiency and reduce operational bottlenecks.

4. AI Integration & Process Improvement

Identify opportunities to leverage AI tools throughout the organization. Design and implement AI-powered workflows that reduce manual work, increase productivity, and improve consistency. Collaborate with leadership to evaluate emerging technologies and implement solutions that enhance operational efficiency.

5. Systems Documentation & Training

Create, maintain, and update documentation for internal systems, workflows, and processes. Develop training materials and lead team training sessions to ensure effective adoption and ongoing use of company systems. Serve as a trusted resource for team members seeking guidance on workflows and technology.

6. Ongoing Systems Strategy & Support

Act as a strategic partner in the evolution of FundSource26’s operational infrastructure. Recommend new tools, workflows, and system enhancements that support company goals. Ensure all systems are maintainable, scalable, and aligned with long-term organizational growth.

What success would look like:

In 6 months...

You are confidently managing our Airtable infrastructure, maintaining reliable automations, and proactively identifying opportunities for improvement. Team members trust your expertise and regularly rely on the systems and documentation you have created.

By 12 months...

Our systems are more streamlined, our automations are reducing significant manual work, and AI-driven processes are helping the team produce better results with less effort. You have successfully implemented strategic improvements that support organizational growth, improve data quality, and create a stronger foundation for future expansion.

In the past, you've:

● Worked in operations, systems management, business process improvement, automation, or a related field for 3–7 years

● Built and managed complex Airtable databases and workflows

● Created automations using tools such as Airtable Automations, Make, Zapier, or similar platforms

● Integrated software platforms using APIs, webhooks, and third-party tools

● Developed documentation, training materials, and user support resources

● Successfully managed multiple projects and priorities simultaneously

● Demonstrated strong analytical and troubleshooting abilities

● Adapted quickly to new technologies and emerging AI tools

● Excelled in both written and verbal communication
