Job Description Summary:

The Communications Project Manager provides operational leadership for governance, communications, and project management activities that support the Environmental influences on Child Health Outcomes (ECHO) IDeA States Pediatric Clinical Trials Network (ISPCTN) through the Heartland Data Coordinating and Operations Center (DCOC) within the Department of Biostatistics & Data Science.

The position leads the lifecycle of assigned cross-functional governance, communications, and operational projects from initiation and planning through implementation, monitoring, and completion. The position collaborates with DCOC Core Leads, ECHO ISPCTN investigators and coordinators, and National Institutes of Health (NIH) program staff to coordinate resources and cross-core processes, manage budgets for assigned activities, mitigate risks, monitor progress, and ensure timely completion of all milestones and deliverables.

Job Duties

  • Plan and coordinate all logistical aspects of in-person ISPCTN meetings.

  • Develop and manage budgets for assigned meetings, communications activities, vendors, and operational initiatives; monitor expenditures, reconcile costs and reimbursements, and provide budget updates and projections to DCOC leadership.

  • Coordinate all DCOC and Data Safety and Monitoring Board travel and related reimbursements.

  • Lead assigned cross-functional governance, communications, and operational projects through initiation, scope definition, planning, execution, monitoring, and closeout, ensuring that objectives and deliverables align with DCOC and ISPCTN priorities.

  • Create and maintain project timelines, task lists, work plans, milestones, and status reports; monitor progress and adjust plans as needed to support timely completion.

  • Identify, assess, and mitigate project risks, delays, resource constraints, and operational issues; escalate significant concerns and recommend corrective actions when needed.

  • Develop and execute stakeholder communication plans, provide clear and timely project updates, facilitate decisions, and maintain alignment among DCOC leadership, Network sites and committees, external partners, and NIH program staff.

  • Evaluate governance, meeting, communication, and project-management workflows; recommend and implement process improvements, standardized tools, and procedures that increase efficiency, consistency, and accountability.

  • Maintain up-to-date Network, committee, and meeting rosters and tracks meeting attendance. 

  • Coordinate onboarding and offboarding of committee members, investigators, coordinators, and other Network members.

  • Coordinate committee membership elections, appointments, and leadership transitions.

  • Solicit and organize volunteers for newly established committees, working groups, and ad hoc task forces.

  • Assist committees in developing, revising, and maintaining charters, standard operating procedures, and related governance documents by providing standard templates, coordinating reviews, and maintaining version control.

  • Collaborate with the communications team to develop newsletters, announcements, and routine communications for investigators, coordinators, committee members, and NIH staff, ensuring that the Network receives information about critical trial and operational activities.

Required Qualifications

Work Experience:

  • Nine (9) years of experience in health-related project management, program administration, meeting and event coordination, research administration, communications. Relevant education may be substituted for experience on a year for year basis.

Preferred Qualifications

Education: Bachelor’s degree in communications, business/health administration, or clinical research.

Work Experience:

  • Experience supporting federally funded research programs, particularly National Institutes of Health awards.

  • Experience working within an academic medical center, university research environment, clinical research organization, or multicenter clinical trials network.

  • Experience preparing reports, meeting summaries, and documentation for sponsors or executive leadership.

  • Experience developing and maintaining standard operating procedures, governance documents, or operational workflows.

  • Experience coordinating travel, conferences, or large in-person and virtual meetings.

  • Experience tracking project milestones, risks, deliverables, and action items across multiple concurrent projects.

Compensation Statement:

The pay range listed for this position is determined by our compensation program using market data and salary benchmarking. A combination of factors is considered in making compensation decisions including, but not limited to, education, experience and training, qualifications relative to the requirements of the position, and funding. At the University of Kansas Medical Center, a reasonable estimate for the starting pay range will be the minimum to midpoint of the posted range, taking into account the combination of factors listed above.
