Facilities Assistant cum Receptionist
What this job involves:
As a Facilities Assistant cum Receptionist , you'll be the welcoming face of our workplace while ensuring smooth day-to-day operations across our facilities. This dual role combines front-of-house hospitality with hands-on facilities coordination, making you an essential part of creating exceptional workplace experiences. You'll manage visitor experiences, coordinate building services, support space management activities, and serve as a key point of contact for employees and guests alike. Collectively shaping a brighter way—for our clients, ourselves and our fellow employees—and in this role, you'll be at the heart of that mission, ensuring our physical spaces reflect our commitment to excellence and innovation. You'll collaborate closely with facilities teams, vendors, and stakeholders to maintain a safe, efficient, and inspiring environment where everyone can do their best work. This position offers a unique opportunity to develop diverse skills across hospitality, operations, and facilities management while contributing directly to the smooth functioning of our workplace.
Day-to-day operation :
- Greet and register all visitors, contractors, and guests with professionalism and warmth, ensuring a positive first impression
- Manage reception desk operations including answering phone calls, responding to inquiries, and directing visitors to appropriate contacts or locations
- Coordinate meeting room bookings, prepare conference spaces, and ensure audio-visual equipment is functioning properly for scheduled meetings
- Perform facilities-related administrative tasks such as raising work orders, tracking maintenance requests, and liaising with service providers and contractors
- Conduct regular floor walks and visual inspections to identify maintenance issues, safety hazards, or areas requiring attention, reporting findings promptly
- Manage incoming and outgoing mail, courier services, and package deliveries, maintaining accurate logs and ensuring timely distribution
- Support space planning activities by maintaining occupancy records, coordinating desk moves, and updating floor plans as needed
- Maintain inventory of office supplies, pantry items, and facilities equipment, placing orders and managing stock levels efficiently
- Assist with health and safety compliance by monitoring building access, supporting emergency procedures, and maintaining visitor logs in accordance with security protocols
Required qualifications:
- Bachelor degree qualification
- Minimum 1-2 years of experience in facilities support role, customer service and receptionist
- Strong interpersonal and communication skills with the ability to interact professionally with diverse stakeholders at all levels
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and ability to learn workplace management systems quickly
- Excellent organizational skills with proven ability to prioritize multiple tasks and manage competing demands effectively
- Professional appearance with a service-oriented mindset and positive attitude
- Basic understanding of building systems, facilities operations, or workplace services is advantageous
- Flexibility to adapt to changing priorities and occasional requirement to work outside standard business hours for events or coverage
Preferred qualifications:
- Associate degree or certification in hospitality management, facilities management, or related field
- Experience working in commercial real estate, corporate facilities, or property management environments
- Knowledge of health, safety, and environmental regulations applicable to workplace operations
- Demonstrated ability to work collaboratively across teams and build effective working relationships with diverse groups
- Problem-solving skills with initiative to identify improvements in workplace operations and service delivery
- Second language proficiency relevant to the local business environment
