About the Role
We are seeking a dynamic Recruitment Coordinator to join our Talent Acquisition team. This role is instrumental in supporting our recruiting team by managing the administrative aspects of the recruitment process to ensure an efficient and exceptional experience for both our candidates and hiring teams. This role requires a highly organized, energetic, and detail-oriented individual who can manage multiple tasks in a fast-paced environment.
The Role
- Work collaboratively with the recruiting team and hiring managers to manage complex candidate interviews.
- Be the first point of contact for delivering a strong candidate experience throughout the recruiting process, including meeting candidates for onsite interviews, keeping the interview schedule on track, and troubleshooting issues that arise on interview day.
- Coordinate and conduct reference checks by phone and email, with the candidate's informed consent, and drive the process to completion in line with GDPR data-handling requirements.
- Manage the offer process, including validating offer details, obtaining approvals, creating and sending offers, and tracking completion dates at every stage. Escalate any delays in the offer process.
- Manage the background check process in accordance with Swedish data protection law: initiate only those checks that are legally permitted and job-relevant, obtain candidate consent, follow up and track checks to completion, and convey results and any follow-up actions. Escalate delays as needed.
- Support pre-hire background checks in a manner consistent with GDPR and Swedish data protection requirements, limiting data collected and retained to what is proportionate and job-relevant.
- Manage, quality-check, and maintain data integrity in the ATS/HRIS (Workday), job postings, and career pages across social media and other outlets, ensuring candidate personal data is handled in line with GDPR.
- Help identify and drive continuous process improvements in recruiting and onboarding to increase efficiency.
- Coordinate LMS (Learning Management System) activities related to onboarding, including assigning training modules, tracking completion, and troubleshooting access issues for new hires, in line with GDPR data-handling requirements for employee records.
- Build out tracking tools in excel and ensuring that tracking sheets are updated accordingly
- Help manage and drive recruiting projects and programs, including employer branding initiatives, sourcing blitzes, and talent outreach/events.
What You'll Bring
Required Qualifications:
- Bachelor's Degree and minimum of 2 years of experience or equivalent experience
- Min 2 years of experience with interview coordination in an HRIS.
- Min 2 years of experience working with hiring managers and different departments to set up interviews.
- Deep excel know-how with the ability to build excel files with connections
- In practice experience working in Workday as recruitment tool (scheduling interviews, moving candidates through WD etc.)
- Excellent communication skills in English, also Swedish is preferred
Preferred qualifications:
- Exceptional communication skills, both written and verbal.
- Should be able to work at a fast pace but also be very detail oriented and have a keen eye for auditing information.
- Should have a very strong aptitude for learning new processes and technology.
- Ability to manage time effectively and efficiently and have the drive to see tasks and projects to successful completion.
- Ability to juggle shifting priorities, schedules, and last-minute changes while maintaining composure.
- Should be a problem solver and a solution provider.
