Hourly rate: $21.90- $27.37
The Workforce Training & Development Coordinator provides comprehensive coordination and administrative support for the Workforce Training & Development function while also serving as executive support to the Chief Human Resources Officer (CHRO). Under the general direction of the Workforce Training & Development Manager, this position coordinates learning programs, maintains training records, assists with employee development initiatives, and supports organizational learning activities.
Additionally, the Coordinator provides administrative and operational support to the CHRO by managing calendars, coordinating meetings, preparing reports, maintaining confidential records, and assisting with special projects. The position requires exceptional organizational skills, discretion when handling confidential information, and the ability to manage multiple priorities in a fast-paced environment.
Essential Job Functions:

Workforce Training & Development (Approximately 75%)
- Coordinate training programs from planning through completion.
- Schedule instructor-led training sessions, reserve meeting space, and coordinate virtual learning events.
- Maintain the Learning Management System (Workday Learning), including enrollments, learning assignments, course records, and completion tracking.
- Generate and distribute reports related to mandatory training, compliance requirements, participation rates, and organizational learning metrics.
- Assist with developing training material job aids, presentations, and participant communications.
- Supports OJT (on the job training) program and mentorship program.
- Assist in the implementation of workforce development initiatives to include but not limited to career development planning and internal candidate development.
- Coordinate registration, attendance, evaluations, certificates, and continuing education documentation.
- Support leadership development, succession planning, employee onboarding, and professional development initiatives.
- Serve as a point of contact for employee questions regarding training programs and learning opportunities.
- Monitor shared training inboxes and respond to inquiries in a timely manner.
- Assist with learning audits and maintain accurate training documentation.
- Support special Workforce Development projects and organizational initiatives.
- Prepare reports and dashboards for leadership using Workday and Microsoft Office applications when needed.
- Responsible for the planning and coordination of employee activities and events regarding rewards and recognition as well as any support needed during the activities or events.
- Assist with entering and receiving requisitions in D365 as needed for departmental needs.
- Perform other duties and/or responsibilities as directed.
Executive Support to the Chief Human Resources Officer (Approximately 25%)
- Provides direct assistance as required to the Chief Human Resources Officer.
- Manage the CHRO's calendar by scheduling meetings, appointments, and organizational events while resolving scheduling conflicts.
- Works closely and effectively with the CHRO to keep him/her well informed of upcoming commitments and responsibilities, following up appropriately.
- Coordinate executive meetings, prepare agendas, compile meeting materials, and distribute follow-up documentation.
- Prepare routine and ad hoc reports, spreadsheets, presentations, and briefing materials.
- Assist with tracking departmental projects, strategic initiatives, and action items.
- Coordinate travel arrangements, meeting logistics, and conference registrations as needed.
- Support the preparation of Board, Executive Leadership, and committee meeting materials as requested.
- Monitor requests submitted to the CHRO and assist in routing items for appropriate action.
- Manage records created and received in compliance with the Hampton Roads Transit Records Management Policies and Procedures.
- Maintain departmental records and assist with document management.
- Perform administrative duties and special assignments supporting Human Resources leadership.

Required Software Knowledge and Skills essential to Job Functions:
Proficiency in using computer systems and the listed software applications associated with performance of assigned work is essential. Basic problem-solving skills associated with software applications used is expected. Software usage relevant to job duties will be evaluated.

Qualifications:
Training and/or Education:
- Minimum qualifications include (experience may be substituted for education):
- Associate degree from a two-year accredited college with course concentration in human resources, business management, training or related field; or
- Experience with training
- Knowledge of learning management systems.
- Knowledge of training methodologies.
- Knowledge of adult instructional and learning theory and principles.
- knowledge of competency assessment
Required Experience:
A minimum of five years of training and analysis experience. Business, human resources and/or secretarial training desirable; must have minimum of three (3) years previous experience as an administrative or human resources assistant; must successfully complete word processing, clerical skills, and written communication test.
Licenses or Certificates:
Possess a valid Driver's License. Acquire a Virginia Driver's License within 60 days after the date of hire (in instances when an out of state license is not the applicant's current state of residence).
