Primary Purpose
The Shared Services Specialist II supports the Accounting Department with applicable functions including accounts payable, cash application and credit memo responsibilities. This team member will focus on one of the previously mentioned areas and will act as a backup for the others.
Major Responsibilities
Responsibilities can include the following depending on the area of focus:
Accounts Payable:
- Process accounts payable vouchers & utilize AP automation software.
- Process vendor credits / Generac debit memos.
- Review all invoices for appropriate documentation and/or approval prior to payment.
- Verify three-way match for all production/direct PO’s.
- Verify non-production/indirect PO’s match invoices.
- Prioritize invoices according to cash discount potential and payment terms.
- Collaborate with vendor, buyer & interdepartmental requests.
- Review AP statements and resolve past due invoices. Assist in any system enhancement projects for the AP department.
Customer Credit Memo:
- Process and review Customer Credit Memos related to product returns, credits, and sales accruals for accuracy, support documentation, and approvals.
- Process rebates systematically. Create customer invoices for training classes and intercompany.
- Maintain approver workflows and credit memo automation ques within ERP system.
- Prepare various excel charts and reports, including month end reporting.
Cash Application:
- Process incoming payments (via check, wire, ACH) and allocate to customer accounts.
- Process offsets and allocations provided by the Credit Department.
- Problem solve to acquire and convert remittances from various sources.
- Assist staff accountant with identifying and correctly posting special cash transactions.
- Reconcile and allocate bank errors (customer invoice number typos, etc.).
- Organize documentation for all manual allocation transactions.
Minimum Job Requirements
Education
High School Diploma or equivalent experience.
Certification / License
Work Experience
Minimum of 1 year experience in an office setting.
Knowledge / Skills / Abilities
Proficiency in Microsoft Office (Excel, Word, Outlook).
Understanding of basic accounting principles.
Thorough knowledge of accounts receivable/cash application standard procedures.
Ability to perform basic mathematical calculations quickly and accurately.

Experience in a manufacturing setting.
