SUMMARY: The Quality and Compliance Grant Management Specialist works as an integral part of the Steppingstone Team. The Grant Management Specialist will have a strong background in financial management, grant accounting, and general accounting principles. This role plays a pivotal part in ensuring the fiscal responsibility and sustainability of our organization. The Grant Management Specialist shall report directly to the Quality and Compliance Manager and will work 1st shifts. The agency has the right to change shifts based on the needs of the organization.


ESSENTIAL FUNCTIONS:

Position Specific Duties

  • Coordinate and manage grant-specific audits by managing the audit schedule and assist in drafting and reviewing responses to audit inquiries.
  • Follow up on post-audit and assessment action items.
  • Assist in the guidance and support of employees on the implementation and communication of post-audit corrective actions.
  • Assist in the development of tools and systems to advance audit preparedness and train teams to build capacity for audits.
  • Ability and expertise in interpreting and applying statutory and regulatory language from financial awards and/or grant contracts.
  • Assist the Quality and Compliance Manager to coordinate, organize and track progress of activities leading to CARF.
  • Assist the Quality and Compliance Manager in developing, managing, and maintaining accreditation standards.
  • Assist in the preparation and maintenance of any records, reports and documentation CARF may require.
  • Attend CARF training and or hearings as needed.
  • Assist with the coordination and monitoring of data including but not limited to Case Record Audit findings to be used by Agency Leadership to stimulate future quality improvement activities.
  • Assist in preparation for site visits with CARF.
  • Create and maintain effective communication with program supervisors.
  • Maintain administration duties for building and department.
  • Ability to climb three flights of stairs to deal with emergencies.
  • Ability to respond to emergency situations by placing calls to Fire, Rescue, Police, and Medical etc.

Administrative Tasks:

  • Complete all required documentation in a timely manner.
  • Perform program recordkeeping, filing, and the organization of vital documents.
  • Provide telephone coverage for the assigned program and direct calls to other programs as needed.
  • Participate in required supervisions, staff meetings and trainings.
  • Participate and cooperate in any investigations conducted by internal and external agencies.
  • Ability to use a computer including inputting information into data systems.

Compliance Requirements:

  • Remain awake during your shift at all times.
  • Attend all mandatory trainings and update all licenses and certifications.
  • Adhere to program/project/department requirements and services.
  • Follow all reporting guidelines by deadlines including the completion of a Confidential Incident Report.

QUALIFICATION REQUIREMENTS: The Grant Management Specialist must perform each essential function satisfactorily. Reasonable accommodations may be made to enable individuals with disabilities to perform essential functions. The qualifications listed below are representative of the knowledge/skill and/or ability required.

  • Associate’s Degree and/or prior experience with accreditation/grant compliance.
  • Strong background in grant accounting and financial management for non-profit organizations.
  • Previous experience in developing compliance tools, templates, and/or trainings desirable.
  • Superior attention to detail, organizational skills, analytical skills, computer skills and multi-tasking skills.
  • A strong background in data coordination, and the ability to organize statistical data.
  • Excel in verbal and written communication skills.
  • Good working knowledge of computers.
  • Requires valid driver’s license due to business-related travel.
