Description
Our Bangkok office is small; with two Accounting professionals so this role will suit someone who is comfortable working a very diverse role in a small-knit team.
Key Responsibilities
- Manage purchasing activities, office supplies inventory and vendor relationships.
- Oversee the day-to-day operation of the Bangkok office and coordinate closely with Singapore Office to ensure smooth business operations.
- Maintain a high level of professionalism, attention to detail and operational efficiency.
- Coordinate a travel arrangement, including transportation, and restaurant bookings.
- Provide administrative support to stakeholders and team members on assigned tasks.
- Assist with preparation of event and seminar materials, merchandise management, and client communication.
- Manage and maintain company documents in compliance with Thai cooperate and regulatory requirements,
- Ensure document accuracy, consistency and proper record and tracking.
- Coordinate with the Singapore Finance team on billing process, invoice issuance payment collection and invoice follow up
- Support stamp duty submissions and related document
- Manage petty cash and expense reimbursement.
- Timesheet and expenses report
- Provide basic IT support and troubleshooting assistance for office equipment and device.
- Helping to plan and organise client events, such as coordinating with the venue and catering
- Review invitation and follow up with registrants
- Prepare, manage and purchase of merchandise
- Assist in presentation preparation as needed
- Handle client enquiries
- Maintain client contact database
- Assist in external marketing requirement as requested (Ciarb treasury duties)
Skills, Knowledge & Expertise
- Several years work experience in general administration, accounting support and/or marketing
- Strong organizational skills with excellent attention to detail and the ability to manage multiple priorities effectively.
- Strong command of both written and spoken English and Thai at a business-professional level.
- Excellent communication and coordination skills, with the ability to build effective relationships with internal and external stakeholders.
- Ability to work independently with a proactive and solution-oriented mindset.
- Results-driven with strong time management skills and a focus on operational efficiency.
- Comfortable working in a small team environment and collaborating across functions.
- Proficient in Microsoft Office applications (Excel, Outlook, Teams, and PowerPoint).
