Fuel Operations | Logistics Coordinator

Help Keep Our Customers and Operations Moving

At World Fuel, we support businesses across Ecuador by delivering critical fuel and energy solutions safely, efficiently, and reliably. We are looking for a proactive and customer-focused Operations & Customer Service Coordinator to support daily operations, logistics coordination, customer service, and administrative activities.

This role serves as a key connection between customers, transport providers, terminal operators, vendors, and internal teams to ensure a seamless customer experience and efficient day-to-day operations.

What You'll Do

Customer Service & Relationship Management

• Serve as a primary point of contact for customers, vendors, and service providers.
• Coordinate customer meetings, appointments, and operational requests.
• Build and maintain professional relationships with customers, suppliers, terminal personnel, and government authorities.
• Provide timely support and communication regarding deliveries, payments, and service-related requests.

Operations & Logistics Coordination

• Monitor and coordinate fuel dispatches from terminals to customer locations.
• Work closely with terminal operators, transport providers, and internal teams to ensure on-time deliveries.
• Track shipments and respond quickly to operational issues or delivery delays.
• Help manage terminal schedules and dispatch priorities based on customer requirements.
• Support inventory and supply chain activities as needed.

Administrative & Financial Support

• Process and maintain customer and supplier documentation.
• Support invoicing activities and ensure required operational information is properly recorded.
• Monitor incoming payments and share proof of payment or transfer confirmations with the appropriate teams.
• Coordinate supplier invoices, payment requests, and supporting documentation.
• Assist with account reconciliations and reporting activities.
• Manage office supply purchases and general administrative support.

Reporting & Continuous Improvement

• Prepare sales, operational, and market-related reports.
• Maintain accurate records in company systems and platforms.
• Support process improvements that enhance customer satisfaction and operational efficiency.
• Assist with special projects and operational initiatives.

What You'll Bring

Required Qualifications

• Associate's or Bachelor's degree in Business Administration, Logistics, Supply Chain, Industrial Engineering, Finance, or a related field preferred.
• 2+ years of experience in operations, logistics, administration, customer service, or account coordination.
• Strong communication and interpersonal skills.
• Strong organizational skills and attention to detail.
• Ability to manage multiple priorities in a fast-paced environment.
• Proficiency in Microsoft Office, particularly Excel and Outlook.
• Bilingual English and Spanish communication skills.

Preferred Qualifications

• Experience in fuel distribution, transportation, logistics, energy, aviation, or related industries.
• Familiarity with dispatch planning, inventory management, or supply chain processes.
• Experience working with invoices, payments, and operational reporting.
